Job Summary
We are seeking a detail-oriented and proactive Office Administrative Assistant to join our team. The ideal candidate will possess strong organizational skills and a commitment to providing exceptional support. This role involves managing office operations, assisting with clerical tasks, and ensuring a smooth workflow within the office environment. The Office Administrative Assistant will primarily support our Tile Department while providing administrative assistance to the Plumbing and Electric departments as needed. This role requires strong organizational skills, a proactive attitude, and excellent interpersonal abilities to coordinate effectively across multiple teams.
Responsibilities
- Material Procurement - verify the availability of material; initial purchase requests to our purchasing department to order material
- Scheduling and Coordination of installations, service calls, and other activities
- Material Handling - assist with receiving of materials and perform quality checks of material
- Team Support - assist in preparing the team each morning to ensure they have resources to complete their jobs successfully
- Administrative duties - manage paperwork related to the department(s)
- Coordinate schedules, meetings, and appointments for team members.
- Ensure compliance with company policies and procedures in all office activities.
Requirements
- Proven experience as an Office Administrator or similar role is preferred.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with QuickBooks or similar accounting software, scheduling tools and inventory management systems is a plus.
- Excellent organizational skills with the ability to multitask effectively.
- Strong communication skills, both verbal and written, for effective customer support.
- Knowledge of tile materials and installation processes is preferred but not required.
- Ability to guide team members effectively
- Experience in clerical duties such as data entry and filing systems.
- A proactive approach to problem-solving with strong attention to detail.
