Job Summary
The Communications Operator plays a vital role in ensuring effective communication within our clinic and with all of our patients and referring offices. This position involves managing the flow of our incoming calls and then routing the call to the appropriate person or department. The ideal candidate will be able to work in an electronic medical record, will be bilingual, will have a strong understanding of federal patient privacy laws, will demonstrate proper phone etiquette and will perform clerical tasks as assigned.
Responsibilities
- Manage incoming calls. respond to inquiries with professionalism and courtesy.
- Will prepare medical records requests within the federal required timeframe.
- Will ensure timely and efficient communication between departments.
- Maintain accurate records of communications and dispatch activities.
- Provide administrative support including clerical tasks and front desk duties as needed.
- Operate phone systems effectively to facilitate smooth communication flow.
- Assist in training new staff on communication protocols and procedures.
- Ensure compliance with all organizational policies regarding communication practices.
Requirements
- 1 year proven medical office experience is preferred.
- Electronic Medical Record experience.
- Strong phone etiquette and excellent verbal communication skills are essential.
- Ability to work in a fast-paced environment while maintaining attention to detail.
- Bilingual skills are a significant advantage for effective communication with diverse populations.
- Proficient in clerical tasks, including data entry and record keeping.
- Familiarity with phone systems and technology used in communications is desirable.
- Strong organizational skills with the ability to prioritize tasks effectively.
