Job Description:
Cornerstone Construction Company is seeking a highly motivated and detail-oriented Assistant Project Manager to join our dynamic team. As an Assistant Project Manager, you will be instrumental in supporting the various design teams and coordinating with subcontractors to ensure projects are delivered on time, within budget, and to the highest standards of quality. Your days will be both productive and rewarding as you coordinate the workflow of a diverse team of colleagues, managers, and clients, ensuring seamless operations and project success.
Responsibilities:
Project Design:
· Collaborate with design teams to ensure the completeness of comprehensive plans; including architectural, structural, civil, biological, geotechnical, trusses, and T-24.
· Coordinate with interior design (ID) to ensure alignment with client expectations and project specifications, such as contract documents and plan sets.
Submittals:
· Support in verifying that plans are ready for submission to relevant jurisdictions.
· Coordinate all necessary permits and fee schedules.
· Support in completing utility submittals and coordinate to receive approved plans and contracts.
· Coordinate with and ensure Interior Design plans are approved by the client.
Estimates:
· Support in organizing data from Requests for Proposals (RFPs)
· Support in preparing proposal templates for potential projects.
· Assist in project development opportunities as needed.
RFPs:
· Support in onboarding new vendors through the Master Subcontractor Agreements (MSA).
· Organize and ensure that the most current information such as plans, material procurement lists, and Interior Design portfolios are updated in project management tools and internal systems.
· Assist in reviewing subcontractor proposals to ensure their scope of work aligns with the construction plans.
· Follow up on outstanding RFPs and organize submitted proposals for review.
· After supervisory approval, award contracts and send Purchase Orders (POs).
· Process invoices and communicate with vendors to verify contracts.
Scheduling:
· Coordinate and update design and construction schedules per project and globally.
· Order materials supplied by Cornerstone.
· Coordinate and manage multiple project and manager calendars, including scheduling and organizing meetings and conference calls.
Manage Project Organization:
· Utilize SmartSheet and Sage CM to create and maintain design and construction schedules, RFP/RFI, updated plans, and project budgets.
· Maintain and organize digital files and shared mailboxes, ensuring easy access and retrieval.
· Direct internal and external customer correspondences to the appropriate person or department (e.g., billing, field staff, Director of Construction), handling confidential and sensitive calls, files, and documents.
· Plan, organize, and prioritize multiple concurrent assignments while maintaining daily tasks and adapting to changing priorities.
· Process and organize incoming information, updating departmental databases, and generating reports and documentation using the Microsoft suite, Smartsheet, and PowerPoint.
· Promote a culture of safety by adhering to and advocating for Cornerstone's safety protocols and best practices.
· Perform additional duties and responsibilities as assigned to support the team and project goals.
Qualifications:
· Experience in the construction industry or project management.
· Excellent communication and interpersonal skills.
· Ability to read, interpret and understand construction plans.
· Ability to work collaboratively with design teams, subcontractors, and clients.
· Strong organizational skills and attention to detail.
· Ability to manage multiple projects simultaneously and meet tight deadlines.
· Ability to work in project management software and tools, such as SmartSheet and Sage CM.
· Ability to manage stress effectively, engage in continuous learning, and stay current with relevant technology and innovations.
Compensation:
$22.50 - $32.50 per hour, depending on experience and training requirements.
