Job Purpose:
The Office Administrator will support the smooth operation of the office by implementing efficient systems, managing key administrative tasks, and contributing to the overall success of the organization. This role involves office management, reporting, financial administration, and supporting the organization’s digital presence, including social media.
Key Responsibilities:
- Prepare and distribute payment reports to clients for insurance purposes.
- Create and send invoices to clients and partner organizations (e.g., churches) to collect payments for counseling services.
- Develop and maintain monthly reports covering finances, client revenue, fundraising/donor income, and other key metrics.
- Provide responsive support by answering client inquiries, addressing requests, and offering helpful information.
- Manage office inventory by tracking stock levels, anticipating needs, and placing supply orders as necessary.
- Collaborate with the team to accomplish organizational goals and provide additional administrative support as needed.
- Collect weekly reports from contractors, process payments, and maintain W-9 information for tax purposes.
- Use QuickBooks to process bill payments, manage income/expense accounts, generate receipts for client billing, reconcile bank statements, and work with the Financial Manager on the annual budget.
- Support and contribute to the organization’s social media strategy, including creating and scheduling content, engaging with followers, and assisting with online fundraising initiatives.
- Participate in monthly staff meetings and contribute to team discussions.
- Perform other tasks and responsibilities as assigned by the Executive Director.
Skills and Qualifications:
- Proficient in Microsoft Office (Word, Excel, Outlook) and QuickBooks
- Solid social media skills, including experience with platforms such as Facebook, Instagram, and LinkedIn
- Strong communication skills, both written and verbal
- Excellent organizational skills and ability to manage multiple tasks effectively
- Experience with inventory control and supply management
- Ability to analyze data and generate reports
- Problem-solving mindset and a proactive approach to tasks
- Professional demeanor and attention to detail
- Required clearances: PA Child Abuse Clearance and FBI Criminal Clearance
