Role Overview:
With technology playing an increasingly important role in the development and success of our businesses, it’s critical that we have a skilled Administrative Specialist.
The ideal candidate should possess strong organizational skills and demonstrate a proactive approach to supporting day-to-day operations. Qualities such as accountability, crisis management and an ability to prioritize are essential. This role requires someone who is eager to learn, excel in their responsibilities, and contribute to the success of our firm.
Responsibilities:
- Handle incoming calls and emails, respond to client inquiries, and forward messages to appropriate team members.
- Assist financial advisors and management with scheduling, preparing client correspondence, and maintaining files.
- Process client paperwork, manage account transactions, and ensure compliance with regulatory requirements.
- Provide excellent customer service by responding to client inquiries, resolving issues promptly, and maintaining positive client relationships.
- Set up meeting spaces, prepare necessary materials, and ensure technology is functioning for virtual or in-person meetings.
- Keep the office environment tidy and well-stocked with necessary supplies.
Skills and Abilities:
- Excellent communication and interpersonal skills
- Strong organizational skills with the ability to multitask
- A knack for problem-solving and attention to detail
- Proficient in MS Office Suite and comfortable learning new software
- Familiarity with office equipment (printers, fax machines, etc.)
- Familiarity with financial software and CRM systems is preferred
Qualifications:
- Associate degree or higher preferred
- 3 years of proven experience as an administrative assistant or similar
- Experience in the financial services industry is preferred
