Position: Accounting and Payroll Specialist
Job Summary:
The Accounting and Payroll Specialist is a NON-EXEMPT position that performs basic Accounting and Payroll duties that will include but are not limited to employee onboarding, benefits administration, processing payroll, taxes, accounts receivable, accounts payable, and performs other administrative duties as needed.
Duties/Responsibilities:
PAYROLL
• Responsible for the thorough review, importing, and processing weekly payroll
• Prepare and submit Certified Payroll to Department of Labor and project owners
• Prepare verify and track Certified Payroll
• Initiate banking direct deposit transactions for payroll taxes and 401(K)
• File quarterly State of Alaska unemployment reports and assist with 941 preparation
• Reconciliation and payment of payroll related invoices, i.e., benefits, union dues, insurance, 401(K), union reporting
ACCOUNTING
• Maintains bank registers and reconciliation of bank accounts and credit cards
• File Notice of Work/ Notice of Completion if required with Department of Labor and pay fees
• Bank reconciliation
• Enter invoices and export after approval for processing in accounts payable as needed
• Receive request to issue payment, check preparation and transmittal for review and approval
• Assist with accounts payable duties and assist as needed
ADMINISTRATIVE
• Assist as needed with welcoming visitors and answering incoming telephone calls
• Prepare and submit union agreements to appropriate union
• Complete and submit various employee forms received, i.e., unemployment forms, wage verification forms
• Maintains all employee records to include new hires, layoffs, and certification records
• Perform other related duties as assigned and needed
Required Skills/Abilities:
• Excellent verbal, written, and interpersonal communication skills
• Ability to operate independently and meet all required deadlines (i.e. accounting deadlines, payroll submission, etc.)
• Ability to read, interpret and apply rules, regulations, policies and procedures within a heavily regulated industry
• Ability to apply strong analytical and problem-solving skills to complex situations and positively affect overall outcomes
• Proficient with Microsoft Office Suite or related software
Education and Experience:
REQUIRED
• High school diploma
• 2 years of payroll experience
• 2 years of accounting experience
PREFERRED
• Associates Degree in General Studies, Business Administration, or Accounting
• 2 years of construction industry-related experience
• 3 years of payroll experience
• 3 years of accounting experience
Physical Requirements:
• Prolonged periods of sitting at a desk and working on a computer
• Must be able to lift up to 15 pounds at times
• Must be able to drive and pick up supplies and other items as needed
