Facilities Manager

Summary:
A successful Real Estate Management company in New Jersey is looking for an experienced Facilities Manager to support one of their complexes in Garfield, NJ. The Facility Manager will be responsible for overseeing the day-to-day operations which includes managing building maintenance, overseeing maintenance crew, interacting with tenants,
and ensuring compliance with all relevant regulations.
Responsibilities:
- Building Maintenance:
- Create, maintain, and prioritize an ongoing list of all needed repairs and projects for the complex
- Create and maintain a list of all preventative maintenance that needs to be performed on a weekly, monthly, and/or annual basis
- Roofs, drains, gutters
- Fire sprinkler system
- Inspect for pipe deterioration
- Heaters in common areas prior to and during winter
- Oversee our onsite maintenance staff
- Track daily attendance and PTO time
- Assign projects according to the employee's skillset
- Oversee and inspect all employee work
- Coordinate repairs and renovations with contractors and vendors
- Oversee and coordinate Tenant Fitups and ensure that the space is 100% ready prior to the start of the lease
- Inspect buildings regularly to identify and address maintenance issues
- Tenant Relations:
- Respond to tenant inquiries and concerns in a timely and professional manner
- Coordinate tenants' move-ins and move-outs
- Perform initial and final walk throughs and document & photograph the condition
- Enforce lease terms and building rules and regulations- especially in buildings with shared hallways & loading docks
- Resolve tenant complaints and disputes
- Financial Management:
- Monitor and control expenses
- Negotiate contracts with vendors and contractors
- Risk Management:
- Be observant and look to prevent accidents
- Always be on the lookout for situations or locations that could be or become a hazard
- Conduct regular safety inspections of the complex and hold regular safety meetings with the maintenance staff
- Ensure compliance with all safety regulations
- Administrative Tasks:
- Keep the complex in compliance with our insurance company, with the fire department, and with the building department
- Maintain accurate records of maintenance, repairs, and inspections
- Prepare reports on building performance and expenses
- Coordinate with property management
Qualifications:
- 5 years of experience in facility management.
- Strong knowledge of light construction and building systems, including HVAC, electrical, and plumbing, and the ability to transfer that knowledge to our onsite maintenance staff
- Excellent organizational and time management skills
- Strong communication and interpersonal skills
- Proficiency in computer software (excel, word)
- Ability to work independently and as part of a team
- Valid driver's license
