The position ACE Assistant is responsible for providing administrative support and assistance to the Director of ACE with programs including Accelerated College Education (ACE) program and High School College Education Online (HS CEO). In addition, this position provides data processing support for other high school populations such as the STEM Academy and High School Learning Center. Meetings at CCC locations other than the main campus, at high schools, and in the community are required. Travel to recruiting events and/or conferences is required. Prolonged time sitting/standing working with computers and monitors, ability to walk/move across campus including walking up and down stairs, ability to lift up to 20 pounds (occasionally may be more), repeated motions may include keyboard typing. Typical office and indoor building environments, occasional outdoor activity may be required. ACE and HS CEO Program Administrative Support (70%)High Schools: help maintain positive relationships with guidance counselors and teachers, obtain needed documentation for ACE and HS CEO programs, assist Director with creation of ACE Master Schedule, deliver presentations in high schools to recruit students to the program, collect Certificate of Residence (COR) applications from high schoolsStudents: create and update ACE student records in Banner, record Certificate of Residence (COR) application submission statuses and complete follow-up on missing COR applications: Visits high schools when necessary to collect COR applicationsSend COR applications to the countiesTrack outstanding COR applications and contact high schools/studentsCoordinate with Student Accounts on ACE COR applications and non-COR billingInstructors: coordinate approval process for ACE Instructors with academic departments; maintain records of instructor credentials and professional development/training; track provisional status of ACE Instructors and coordinate with academic departments on updating status; assist with roster confirmation; track dependent tuition credits for ACE Instructors; in collaboration with Information Technology, track ACE Instructor SUNY CCC account claimsLiaisons: files ACE Liaison reports, track sites visits, process mileage reimbursements, and process and maintain all documentation, record all professional development provided by academic departments for ACE Instructors that occurs outside of site visits ACE Office Support (25%)Manage the daily operation of the ACE Office including answering telephones, email, scheduling meetings, mailings, travel reimbursements, ordering supplies and materials, purchasing paperwork, ACE webpages updates, assist with ACE Workshop preparation, survey support, collaboration and communication with stakeholders (high schools, GST BOCES, homeschool population), collaborate with Admissions Office in conversion efforts.Other (5%)Create STEM Academy student records in the student information system, create High School Learning Center student records in the student information system.
