GENERAL SCOPE OF RESPONSIBILITIES:
The secretary to the principal is to work in a busy, multi-tasking environment. The principal’s secretary is the first person whom the staff, parents, and students encounter en-route to see the principal. This position requires an individual who is self-motivated, able to work cooperatively with staff, parents, and students, can communicate effectively with the public, maintain a high level of confidentiality, be responsive to immediate needs, pleasant, professional, polite, confident, loyal, and trustworthy. In addition, this position requires an individual to possess excellent clerical and technical skills.
ESSENTIAL FUNCTIONS:
Budget/Financial Management
- Prepare budget
- Prepare purchase orders
- Check in all supplies
- Fill general supply requisitions
Communications
- Open office, prepare substitute teacher list, and packets
- Assist with phones and counter
Organization
- Organizes, publishes, and distributes the monthly school newsletter.
- Organizes, publishes, and distributes the daily bulletin.
- Maintains student attendance records, keeping track of severe absentee problems/truancy/attendance issues.
- Organizing records/paperwork/forms for all incoming students registering and withdrawing to the school, and distributing all paperwork to proper staff.
- Maintains building security through the supervision of all building keys and door access cards.
- Responsible for maintenance and security of cumulative files and student information system
- Organizes and logs staff supervision information on a yearly basis.
- Organizes, requests for, and puts together in-house substitute schedules as needed by the principal.
- Responsible for student information management system and Emergency Notification System
- Creation of class lists and kindergarten registration.
Clerical
- Assists in the production of faculty/staff handbooks, emergency handbooks, discipline handbooks, etc.
- Types teacher observations, teacher rating forms, and tentative teacher assignments.
- Types, publishes, and updates staff rosters and building telephone rosters.
- Types and logs student suspensions, student bus issues, and student discipline issues.
- Prepares numerous mass mailings for parents through the school year.
- Assists with opening of school for new year and closing of school.
- Assist principal with recognition and awards e.g. Organizing annual 5th Grade Awards’ Assembly, 5th Grade Student of the Year etc.
Personnel
- Handles phone calls and mail, and schedules interviews as needed.
- Assist with processing classified applications, i.e. set up interviews, and send appropriate correspondence.
- Processes Act 48 paperwork.
- Processes classified employees’ time sheets, logging hours, and monitoring for excessive work hours.
- Assist principal with crisis management plans
OTHER FUNCTIONS:
- Maintains filing systems for attendance, students, and principal.
- Monitors security door bell system which allows visitors to enter the building.
- Coordinator of building use e.g. SACC, scouts, sports
- Liaison to Parent Organization Officers
- Miscellaneous duties as requested by school administration.
