We are seeking a highly organized and detail-oriented Office Administrator to join our team. This position requires a proactive individual who can handle multiple responsibilities while providing exceptional support to both management and employees.
Duties
- Oversee daily office operations and ensure a productive work environment.
- Perform clerical duties including filing, data entry, and document management.
- Handle administrative tasks such as answering phone systems, responding to inquiries, directing calls appropriately, and greeting guests.
- Assist office staff and provide guidance on administrative procedures.
- Coordinate office meetings as needed
- Assist with managing and ordering office supplies
- Manage requests and distribution of Certificates of Insurance
- Manage and file DOB Electrical permits for customers, including yearly renewals
- Data entry of A/P invoices into Timberline
- A/P statement reconciliation
Skills/Qualifications
- Strong knowledge of payroll systems and processes.
- Knowledge of Microsoft applications, specifically Excel.
- Effective office management skills with the ability to prioritize tasks efficiently.
- Strong administrative skills with proficiency in office software applications.
- Familiarity with phone systems and professional communication etiquette.
- Excellent organizational skills with excellent attention to detail.
- Great communication and interpersonal abilities
- Strong time-management and multitasking abilities
- Familiarity with office management procedures and basic accounting principles
- Excellent knowledge of MS Office, especially MS Excel
- Ability to maintain confidentiality of company information
- NYS Notary, preferred
Job Type: Full-time
Pay: $55,000.00 - $65,000.00 per year
