Job Overview:
- As an Office Manager at Corporate Plumbing, Inc. you will be responsible for overseeing a range of office tasks, with a strong focus on weekly payroll & certified payroll, invoicing, account reconciliation, and waivers. You will help manage our daily operations, ensure accurate documentation, and assist our Vice President with any other tasks. This pivotal role requires a strong proficiency in QuickBooks, proven experience as Office Manager or similar role, understanding of Contractor and Vendor waivers, and knowledge of payroll and certified payroll. Bachelor's Degree is preferred.
Key Responsibilities:
- Payroll Management: Process weekly and certified payroll, ensuring accuracy and compliance.
- Invoicing (A/P): Print & Save Vendor invoices daily and separated by vendor while making sure the invoice matches the packing list.
- QuickBooks Management: Handle all aspects of QuickBooks, including bookkeeping, reports, and financial reconciliations.
- Contractor & Vendor Waivers: Create, collect, track, and maintain contractor and vendor waivers and related documents.
- Vendor Reports: Generate and review reports for vendor accounts, payments, and performance.
- Union Reports: Prepare & Create Union Reports monthly for union dues.
- Work Vehicle Records: Maintain records for company vehicles, including maintenance, safety inspections, and insurance.
- Office Administration: Support the team with daily general office tasks, such as answering phones, ordering material, scheduling inspections,
Qualifications:
- Proven experience as an Office Manager or similar administrative role (ideally in the plumbing or construction industry).
- Strong proficiency in QuickBooks and payroll systems.
- In-depth knowledge of certified payroll and related processes.
- Understanding of contractor/vendor waivers and related documentation.
- Excellent organizational skills with the ability to manage multiple tasks and priorities at the same time.
- Strong attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Exceptional written and verbal communication skills.
- A proactive, resourceful attitude toward challenges and daily responsibilities.
Job Type: Full-time
Pay: $50,000.00 - $65,000.00 per year
