What are the responsibilities and job description for the Administrative Executive Assistant position at Corporate Realty?
Third-party commercial real estate company is seeking a qualified and professional individual to support operations at a Class A office building in downtown Baton Rouge. This individual will assist the Property Manager, Chief Engineer, and other support staff in ensuring smooth daily operations.
Essential Duties and Responsibilities:
- Work closely with the Property Manager to provide administrative and operational support.
- Maintain professional interactions with property tenants, addressing inquiries and concerns promptly.
- Assist maintenance staff by coordinating and tracking work order requests.
- Communicate and coordinate with vendors, suppliers, contractors, and contract holders.
- Support property accounting functions, including rent collection and posting, accounts payable processing, budget preparation, annual expense reconciliations, and maintaining certificates of insurance.
- Answer and direct calls, take messages, and manage correspondence efficiently.
- Provide administrative support to the leasing team as needed.
- Assist in preparing documentation and marketing materials.
- Manage multiple tasks within specified time frames and deadlines for ongoing projects.
Education and Experience:
- High school diploma or equivalent required; associate degree or higher preferred.
- Minimum three (3) years of experience as an administrative or office assistant required.
- Experience in a real estate office preferred.
Skills and Competencies:
- Self-motivated with the ability to work independently.
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Effective verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.) and the ability to quickly learn new software.
- Experience with Yardi a plus.
- Positive attitude with the ability to handle challenges professionally and proactively.
- Ability to multitask and manage priorities in a dynamic environment.
