Third-party commercial real estate company is seeking a qualified and professional individual to support operations at a Class A office building in downtown Baton Rouge. This individual will assist the Property Manager, Chief Engineer, and other support staff in ensuring smooth daily operations.

Essential Duties and Responsibilities:

  • Work closely with the Property Manager to provide administrative and operational support.
  • Maintain professional interactions with property tenants, addressing inquiries and concerns promptly.
  • Assist maintenance staff by coordinating and tracking work order requests.
  • Communicate and coordinate with vendors, suppliers, contractors, and contract holders.
  • Support property accounting functions, including rent collection and posting, accounts payable processing, budget preparation, annual expense reconciliations, and maintaining certificates of insurance.
  • Answer and direct calls, take messages, and manage correspondence efficiently.
  • Provide administrative support to the leasing team as needed.
  • Assist in preparing documentation and marketing materials.
  • Manage multiple tasks within specified time frames and deadlines for ongoing projects.

Education and Experience:

  • High school diploma or equivalent required; associate degree or higher preferred.
  • Minimum three (3) years of experience as an administrative or office assistant required.
  • Experience in a real estate office preferred.

Skills and Competencies:

  • Self-motivated with the ability to work independently.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Effective verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.) and the ability to quickly learn new software.
  • Experience with Yardi a plus.
  • Positive attitude with the ability to handle challenges professionally and proactively.
  • Ability to multitask and manage priorities in a dynamic environment.
