Job Summary
We are seeking a dedicated and organized Campus Secretary to join our school. The ideal candidate will provide essential administrative support, ensuring the smooth operation of our office. This role requires excellent communication skills, written and verbal, attention to detail, and proficiency in various office software. The Campus Secretary will be responsible for managing schedules, handling correspondence, and maintaining organized records. They will interact with students ages 6 through 14, parents and guardians of current students, staff, prospective parents, and vendors. They will take various forms of payment for school events or services and make weekly deposits at the bank.
Primary Purpose:
Ensure efficient operation of the school administrative office and maintain accurate records for the campus.
Qualifications:
Education/Certification:
High School Diploma or GED
College hours
Special Knowledge/Skills:
Bilingual Spanish or Conversational Spanish vital
Proficient keyboarding and file maintenance skills
Ability to use software to develop spreadsheets, databases, and do word processing
Ability to maintain accurate and auditable records
Ability to follow verbal and written instructions
Ability to perform a variety of tasks often changing assignment on short notice
Effective organizational, communication, and interpersonal skills
Experience:
One to three years secretarial experience preferred
Major Responsibilities and Duties:
Records, Reports, and Correspondence
- Prepare campus communications, correspondence, forms, manuals, reports, purchase orders, and payment authorizations following district standards and requirements
- Prepare instructional materials and campus communication as requested
- Monitor and process time cards including leave requests and reports. Compile information and submit to director (or as assigned) according to established procedures and deadlines
- Compile, maintain, and file all reports, records, and other documents as required. Maintain student records according to established procedures
- Maintain student records and process requests for student information. Process new student records, including requesting transcripts and records from other schools
- Maintain staff records.
- Assist parents, students, volunteers, and faculty as needed
Reception and Phones
- Schedule meetings and appointments and maintain calendar for administrative staff
- Receive incoming calls, take reliable messages and route to appropriate staff
- Ensure area is clean, inviting, non cluttered
Files
- Maintain physical and computerized files including mailing lists, student records, visitor logs and office communication
- Update handbooks, policy manuals, and other documents as assigned
Accounting and Inventory
- Prepare and process purchase orders
- Receive, store, and issue supplies and equipment
- Prepare and make cash deposits for accounts
- Assist with planning, preparation and setup of faculty meetings and campus activities
- Maintain inventory of fixed assets, equipment, and supplies
Other
- Sort, distribute, or deliver mail and other documents
- Administer medication to students, check temperatures, verify shot records, and notify parents of student illness
- Maintain confidentiality
- Follow district safety protocols and emergency procedures
- Perform other duties as assigned
