Description
We are seeking a detail-oriented and proactive People Administrator to join our team. The successful candidate will play a crucial role in coordinating and supporting various HR initiatives. The ideal candidate should possess strong organizational skills, excellent communication abilities, and a passion for fostering a positive work environment. This role will involve collaboration with various teams and stakeholders to achieve our organizational goals.
Primary Duties
- Accurately input new employee data into the UKG (Ultimate Kronos Group) system.
- Assist with organizing and conducting new employee orientation sessions, ensuring a smooth onboarding process.
- Efficiently scan and digitize physical documents, ensuring clarity and accuracy for electronic record-keeping
- Upload attendance information from the Rapid Roster system, ensuring accuracy and completeness.
- Maintain a spreadsheet for tracking new hires.
- Process employee verification requests from external parties, providing accurate and timely information.
- Assist walk-in employees with HR and payroll-related inquiries and tasks at the designated window.
- Facilitate the enrollment of employees in the Rapid Paycard system and address employee inquiries regarding payments.
- Organize and distribute payroll checks to employees, ensuring confidentiality and accuracy.
- Monitor and track employee work hours to ensure accurate and timely input for payroll processing.
- Maintain a spreadsheet for weekly payroll requests.
- Process salary adjustments and retroactive payments accurately in accordance with company policies.
- Manage employee status changes, including terminations, transfers, seniority updates, and related notifications to IT.
- Coordinate employee transfers within the organization, ensuring smooth transitions and accurate record-keeping.
- Handle I-9 exceptions such as name changes, extensions, and other modifications while ensuring compliance with regulations.
- Audit compliance posters in designated areas as required by labor laws and regulations.
- Assist with processing and responding to unemployment claims as needed.
- Contribute to the execution of corporate onboarding processes
- Prepare accurate wage statements for H-2A employees on a weekly basis.
Additional duties, as may be required to assist the team or serve as back-up
- Maintain a well-organized system for filing and storing I-9 forms in accordance with legal requirements.
- Coordinate and track employee participation in Workplace Safety (WPS) and PRIDE training sessions, maintaining up-to-date training records.
- Prepare and distribute Family and Medical Leave Act (FMLA) paperwork for eligible employees, ensuring compliance with regulations.
- Facilitate employee deductions for authorized purchases, accurately calculating and processing deductions.
- Coordinate the collection of rent checks from employees occupying Costa properties, maintaining clear payment records.
- Review Rapid Paycard ID verification reports, ensuring the accuracy of employee data for payroll processing.
- Generate and analyze reports related to invalid Social Security Numbers (SSNs), terminated employees, and other relevant metrics.
- Collaborate with legal and HR teams to retrieve and compile employee records from the UKG system for subpoena requests.
- Coordinate and conduct housing inspections for H-2A workers, ensuring compliance with housing standards and regulations.
- Coordinate and conduct transportation inspections for H-2A workers, verifying compliance with transportation safety requirements.
- Prepare detailed recruitment reports for H-2A workers, documenting the hiring process and ensuring alignment with regulations.
Qualifications
- High school diploma or equivalent (Associate degree in relevant field preferred).
- Bilingual: English and Spanish or Creole Required
- Strong organizational skills with a keen eye for detail.
- Excellent communication skills, both written and verbal.
- Ability to handle sensitive and confidential information with discretion.
- Experience with HRIS platforms (such as UKG) and reporting tools.
- Strong problem-solving skills and ability to prioritize tasks effectively.
- Ability to work both independently and collaboratively within a team.
- Prior experience in HR, compliance, or document management is a plus.

- Full time – flexibility to work extra time if needed
- Work in a fast paced and diverse environment
- Work primarily in an office setting but on occasion may be required to visit farm operational sites
- Eye/hand coordination, typing, handling, & wrist motion continuously
- Bending, reaching, stretching, standing, & walking occasionally
