Outpatient Front Desk Scheduler
JOB SUMMARY: Perform general office work for agency officials and maintain the front desk. Characteristics and competencies consistent with this agency’s code of ethics and commitment to the vision and mission statement are required for this position.
Specific Responsibilities:
- Answer all incoming calls for OP clinic. Assist client and/or forward to appropriate personnel or department.
- Schedule appointments for on-site patients and phone clients
- Welcome/check-in on site clients and visitors with a friendly demeanor.
- Verify client information upon arrival (Address, phone number, email, and insurance information) and check chart for any current warnings or notes.
- Collect co-payments prior to appointments when clients check-in. All co-pays and payments are due at the time of service. Remind clients of any co-pay due at time of reminder call as well.
- Confirm appointments for all therapists & prescribers with reminder calls two days prior of the scheduled appointment.
- When scheduling and confirming appointments, verify that client is assigned to the correct prescriber, therapist, and outpatient team.
- When scheduling appointments, make sure the client is not scheduled with any other provider on the same day.
- Monitor lobby area on a regular basis to ensure all clients have been greeted and checked in.
- Run daily ledgers of payments collected and maintain a cash drawer which should be secured in the appropriate location at the end of the day.
- Answer incoming crisis calls and follow crisis call procedures as directed by the Crisis Director and OPS Director.
- Cancel appointments as needed and follow appropriate instructions in Credible.
- Make sure all visitors to clinic have signed in and have a name tag.
