As the first point of contact for our clients, you will play a key role in ensuring smooth communication, excellent client care, and operational efficiency.
Key Responsibilities:
- Serve as the primary contact for incoming calls, managing a high volume of phone inquiries with professionalism and empathy.
- Coordinate client appointments, cancellations, and rescheduling with attention to detail and accuracy.
- Provide exceptional customer service to clients by addressing questions, concerns, and requests in a timely and compassionate manner.
- Multitask efficiently by managing phone communications, scheduling, and administrative tasks simultaneously.
- Prioritize client care by maintaining confidentiality (HIPAA knowledge is a plus)
- Calm, solution-focused demeanor during all client interactions.
- Support therapists and administrative staff by handling client intake forms, payments, and other documentation.
- Troubleshoot scheduling conflicts and provide proactive communication to clients and staff.
- Contribute to a positive and welcoming atmosphere in the office.
Qualifications:
- Previous experience in customer service, front desk, or administrative roles (preferably in a high-volume setting).
- Strong multitasking abilities with a proven capacity to manage competing priorities.
- Excellent verbal and written communication skills.
- Ability to handle confidential information with professionalism and discretion.
- Familiarity with scheduling software or practice management systems is a plus.
- A friendly and approachable personality, with a focus on creating a positive client experience.
