What are the responsibilities and job description for the Substance Use Disorder (SUD) Intake & Office Assistant position at Counseling Services of Southern Minnesota?
CSSM is looking to add an Intake Specialist for our Substance Use Disorder (SUD) program with some Office Assistant duties.
The ideal candidate will work directly with the Intake Department Supervisor to ensure timely and professionals admissions of new clients seeking substance use counseling and also provide some Office Assistant duties.
Hours will be Monday-Thursday: 8:00 am to 5:00 pm; Friday: 8:00 am to 12:00 pm.
Job duties include but are not limited to:
1. Maintain updated waiting list
2. Provide customer service via in person or by telephone for customer inquiries, intake, and answering questions
3. Verify financial arrangements on new referrals and reopened cases
4. Coordinate all initial outgoing correspondence
5. Obtain initial releases for exchange of information with referring agency
6. Create client in Procentive
7. Obtain referral material for evaluations and follow up on releases
8. Serve as a support and resource to providers
9. Demonstrate knowledge of insurance company’s protocols and procedures
10. Scan documents into Procentive
11. Complete tracking of entries for incoming and outgoing referral correspondence
12. Process terminations and maintain closed filing
13. Activate record requests by routing releases and checklist, making copies as noted, and sending information as requested
14. Track terminations
15. Assist the Director of Clinical Services and the Director of Substance Use Disorders/Supervisors, Billing Specialist, Business Manager, Intake Department, Human Resources Manager as needed/assigned
16. Maintain cleanliness in the lobby and general office space
17. Attend and actively participate in monthly office meetings
Desired qualifications:
Bachelor’s degree in business and/or Human Services field; experience with clinical intake procedures, supervision, and insurance knowledge preferred.
