Job Summary
The Activities Coordinator plays a vital role in enhancing the quality of life for residents in a 55 community. This position is responsible for planning, organizing, and executing a variety of recreational and social events designed to enhance the quality of life for our residents. This individual will also oversee the community's social media platforms and manage the bi-weekly newsletter to ensure that residents are informed and engaged. The Activities Coordinator will work closely with the HOA Board, community members, and external vendors to create a vibrant, engaging, and well-rounded event calendar that promotes community involvement and strengthens neighbor relationships.
Responsibilities
- Event Planning & Coordination - (1)Develop & execute a diverse annual and seasonal calendar of events for all residents, including social gatherings, fitness programs, educational workshops, activities and holiday celebrations; (2)Coordinate logistics for events, including securing vendors, handling registration, managing budgets, and arranging supplies and equipment; (3)Create marketing materials (flyers, newsletters, digital posts) to promote activities to residents through email, social media, and community bulletin boards; (4)Ensure activities align with the interests and needs of the community, adjusting events based on feedback and participation.
- Community Engagement - (1)Partner with the various committees and clubs on organizing their events yearly for the community; (2)Act as a liaison between residents and the HOA Board to gather input on activity preferences and ensure that the community's desires are met; (3)Foster a welcoming environment,encouraging participation from a diverse group of residents; (4)Respond to inquiries regarding upcoming activities, providing clear and timely communication.
- Vendor and Budget Management - (1)Liaise with external vendors, entertainers, instructors and suppliers to secure services for activities; (2)Manage event budgets, ensuring activities are cost-effective while still providing a high quality experience; (3)Maintain a list of preferred vendors and negotiate contracts and pricing as needed.
- Social Media & Communications - (1)Oversee the community's social media platforms (e.g. Facebook), ensuring timely and relevant posts that promote upcoming events, important announcements, and community initiatives; (2)Engage with residents on social media, responding to comments and questions, fostering a positive online community; (3)Monitor and maintain social media content to align with the community's values and standards; (4)Create & distribute the bi-weekly community newsletter, including event updates, HOA news, and other relevant information for residents; (5)Manage & maintain deadlines for all CPM committees enuring relevant information is posted in a timely manner; (6)Ensure that all communications are clear, professional, and timely.
- Record Keeping & Reporting - (1)Maintain records of past events, budgets and resident participation; (2)Provide regular reports to the Poperty Manager & HOA Board, updating them on upcoming events, budget status, and feedback from residents; (3)Track and analyze event success to inform future activities and improve participation.
- Safety & Compliant - (1)Ensure that all activities are in compliance with community guidelines, safety standards, and legal requirements; (2)Oversee safety protocols during events, including ensuring the availability of first aid kits, emergency contacts, and clear event guidelines.
Qualifications
- Associate/Bachelors degree in event management, hospitality, recreation, or a related field preferred
- Previous experience in event planning, community engagement, or hospitality preferred
- Strong organizational and multi-tasking skills with attention to detail
- Excellent communication and interpersonal skills, with the ability to engage and build relationships with diverse community members
- Must possess a positive and friendly demeanor
- Must have an ability to work independently, be resourceful, and manage multiple projects at the same time
- Must possess proficiency in Microsoft Office Suite, event management software or related tools.
- Knowledge of HOA policies, local regulations, and community guidelines are a plus
- CPR and First Aid certification preferred, or willingness to obtain
- Must be able to work a flexible schedule, including nights & weekends
