Support the County Manager/Administrative Coordinator in preparation and management of administration projects to assist with successful implementation of programs supporting all departments and elected officials. Support public information initiatives to help provide informative timely distribution of information to employees and the public. Serve as the first impression for Administration Suite guests and visitors to promote a positive, professional experience.

The Confidential Administrative Assistant provides administrative assistance to the County Manager/Administrative Coordinator and works closely with other County staff on a variety of priorities and projects. Performs intermediate skilled administrative support work coordinating employee group meetings and training sessions, and related work as apparent or assigned. Handles highly confidential information regarding personnel matters, labor relations, controversial issues, and individuals and/or projects.

It is unlikely an employee will perform all the duties listed on a regular basis, nor is the list exhaustive in the sense it covers all the duties that an employee may be required to perform.  The examples are merely indicative, not restrictive.

  1. Attends meetings as requested by the County Manager/Administrative Coordinator; coordinates group employee meetings and training sessions; performs miscellaneous administrative duties as assigned including assisting in coordinating special projects as requested by the County Manager/Administrative Coordinator.

  2. Serves as a confidential assistant on matters pertaining to personnel and administrative matters; serves as liaison to and for the County Manager/Administrative Coordinator in dealings with County Departments, employees, other units of government, community organizations, and the general public.

  3. Assists in the annual County budget process preparing and disseminating informational material; scheduling meetings; monitors items in progress.

  4. Performs clerical duties regarding travel and meeting arrangements, prepares facilities for meetings, telephone reception, files confidential and sensitive information, and collects, processes and routes mail.

  5. Coordinate the review and approval of County service contracts, assist with file management, and ensure documents are readily available as needed.  

  6. Performs administrative duties including assembling orientation materials for the County Board Supervisors; assists with various appointments; assists with the preparation of resolutions and ordinances; and assists with preparation of various reports.

  7. Composes, edits, transcribes, and disseminates confidential and technical material which may consist of agendas, minutes of meetings, letters, articles, memoranda, forms, reports, and PowerPoint presentations in accordance with standard policies.

  8. Prepare, update and distribute a variety of reports, contracts, correspondence, policies, procedures, forms and other documentation.

  9. Assist with preparing financial statements, such as Solid Waste, and provides analysis regarding actual versus budget. 

  10. Interacts with other governmental and private agencies and maintains office in the absence of the County Manager.

  11. Performs other related functions and duties as assigned or required.

Associates/Technical degree in office administration, business, or related field and considerable experience in performing administrative, secretarial, and general office work, or equivalent combination of education and experience.  Valid driver's license in the State of Wisconsin.

OTHER KNOWLEDGE, SKILLS & ABILITIES

Within the first six (6) months, gain substantial knowledge of County and department policies and procedures to include emergency and inclement weather policies; ability to prioritize and manage multiple, concurrent projects; attention to detail and ability to effectively organize time and anticipate, plan and successfully respond to changing circumstances; ability to make arithmetic computations using whole numbers, fractions and decimals; ability to operate and use standard office equipment; knowledge and ability to use standard office and position-specific software; ability to effectively communicate both verbally and in writing; ability to establish and maintain effective working relationships with co-workers, supervisors, other departments and the general public.

PHYSICAL DEMANDS

This work requires the occasional exertion of up to 10 pounds of force; work regularly requires speaking or hearing and using hands to finger, handle or feel, frequently requires sitting, reaching with hands and arms and repetitive motions, and occasionally requires standing, walking, pushing or pulling and lifting; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data, operating machines and observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).
