Program Coordinator Special Events

Organizational Overview:
The Bergen County Parks System encompasses over 9,500 acres of passive, programmed, and specialized recreational facilities in New Jersey’s most populated county with immediate proximity to NYC. Located over 246 square miles and 70 municipalities, the county parks system is comprised of both revenue generating and non-revenue generating facilities and is managed through 5 divisions, 3 geographic regions and standalone specialized facilities which function 24/7/365. The daily responsibility for operations and management of the department’s vast acreage and portfolio requires a professional who has a diverse background and experience. A high level of professionalism, technical knowledge, communication skills and strong leadership are essential requirements of this position.
Job Description:
Under the leadership and direction of the Director of the Department of Parks, this position will assist the principal of the department in the planning, promoting and organizing a comprehensive service for the patrons and residents of the County of Bergen.
Job Responsibilities:
· Administers the policies of the recreation board or authority responsible for community recreation
· Plans, promotes, organizes and administers a comprehensive community recreation service
· Establishes administrative procedures to provide maximum service at a recreation service
· Interfaces with government and educational organizations to promote special events appropriate and beneficial to the community, agency or facility.
· Establishes and maintains cooperative planning and working relationships with other local community agencies and interested individuals
· Organizes, trains and supervises subordinates and provides them with needed advice and assistance
· Prepares reports, correspondence, budget estimates and maintains records of expenditures
· Directs the acquisition, design, construction and operation of recreation facilities and arranges for their maintenance and operation
· Establishes and maintains records of recreation activities and services, correspondence, personnel and property
· Willingness to travel within New Jersey for meetings
· Work closely with Park Administration, permit staff, park managers, Bergen County Sheriff’s Office, Security and Office of Emergency Management to ensure success of special events
· Evaluate compatibility of special events with park spaces and identify issues that need to be resolved prior to a permit being issued
· Attend special events to ensure permit holder’s adherence to Park Departments polices and guidelines
Overall Event Coordination (All Events)
- Coordinate with production companies for multi-agency entertainment planning
- Book local bands and performers
- Arrange food truck vendors and logistics
- Manage event ticketing systems
- Organize banking and money collection with County Treasury and security
- Coordinate annual Employee Day
Star-Spangled Spectacular Specific
- Manage fireworks display (cost, logistics, fire marshal approval, municipal ordinances)
- Oversee traffic control, crowd management, parking, and transportation
- Liaise with Eagle Foundation of America
- Arrange alcohol service (ABC permit)
Winter Wonderland Specific
- Manage sound, lighting, tents, and winter market vendors
- Oversee ice skating and ice bumper car operations
- Coordinate ADA-compliant mobile comfort stations
- Arrange alcohol service (ABC permit)
Darlington Swim Season Specific
- Overall event coordination – as above
Schedule:
· Full time (40 hours/week).
· Overtime as needed
Education Requirements: Possession of a Bachelor’s degree from an accredited college or university
Other Requirements:
· Five (5) years of experience in the capacity of a project management to an executive or administrative official
· Proficiency in Microsoft office, Google Workspace, Canva and other relevant software
· Strong interpersonal and communication skills (written and verbal).
· Ability to work well in a cooperative, team-oriented environment.
· Effective multi-tasker with strong organizational skills.
· Effective leadership skills in educational settings
· Valid New Jersey Driver’s License.
