Division of Park Operations, Department of Parks and Recreation
Organizational Overview:
The Bergen County Division of Park Operations oversees the management and maintenance of six county-owned golf courses, which make up ten percent of the county’s total parkland. These courses offer residents and visitors an affordable and accessible golfing experience
Job Description:
This employment opportunity is to serve as the Secretarial Assistant to the Division Director of Golf. Under direction, performs complex and responsible clerical work of a varied nature requiring thorough knowledge of the rules and regulations of the division; does related work as required.
Job Responsibilities:
- Reviews, sorts and routes incoming correspondence and personally prepares letters on routine matters entailing a comprehensive knowledge of division programs, objectives, standards, policies and procedures
- Prepares administrative correspondence, memoranda, and statements on behalf of the division directors and their respective staff
- Sees that pertinent material is obtained from the files and other sources, arranges it in usable form and prepares memoranda and summaries as required
- Maintains a schedule of appointments and the daily engagement calendar of the division director
- Prepares agenda of meetings and takes and puts into official form the minutes of meetings
- When authorized, reviews, prioritizes and responds to voicemails and various correspondence on behalf of the director
- Makes arrangements to hearings, conferences and meetings for the division director
- Maintains mailing lists in current conditions
- Maintains confidential correspondence, follow ups and other records and files
- Other duties as assigned
Schedule:
· Full time (40 hours/week)
· Overtime as needed
Education Requirements: Successful completion of a two-year program at an accredited college or university in administration
Other Requirements:
- Five (5) years of experience in the capacity of a secretary to an executive or administrative official
- Proficiency in Microsoft Office Suite, including Teams, Word, and Excel programs.
- Strong interpersonal and communication skills (written and verbal).
- Ability to work well in a cooperative, team-oriented environment.
- Effective multi-tasker with strong organizational skills.
- Discretion and confidentiality.
- Valid New Jersey Driver’s License.
