POSITION SUMMARY:
This position performs a variety of advanced clerical duties, consisting of independently addressing complicated casework issues regarding compliance and medical support and resolves these issues or evaluates the need for officer intervention. This person communicates regularly with clients, attorneys, employers, other courts and departments within the county to coordinate the transfer of information and responds to requests for information.
The following applies to all employees of the Domestic Relations Section serving the 23rd Judicial District of Pennsylvania: Employees must assist in maintaining high program performance standards through efficient work practices and by active engagement in process improvement and training, which occasionally requires travel. Employees must diligently maintain a safe and secure working environment for employees and the public through compliance with all safety and security procedures.
POSITION RESPONSIBILITIES:
Essential Functions
The duties and responsibilities of this position include, but are not necessarily limited to:
- Answer incoming phone calls from clients, attorneys and employers and research and respond to all inquiries made.
- Respond to general incoming correspondence & e-mails from clients, attorneys and employers. Forward technical matters to assigned Compliance Officer as needed.
- Respond to client complaints by pulling case up on PACSES and making a determination as to what action needs to be taken and how matter should be handled.
- Updates PACSES system information to reflect changes such as new address, new employment or medical insurance coverage and associated information.
- Operate standard office machines incidental to clerical assignments such as the copier, fax machine and computer.
- Make copies for Officers of all Contempt Petitions and Orders of Court, docket and time stamp the original document and mail a copy to all parties. Process all returned mail accordingly and resend doing proof of service when applicable.
- Interview Defendants upon release from incarceration to update and confirm address, demographic and contact information and schedule the unemployed for work search appointments.
- Send Notice of Non-Compliance to defendants as needed. Meets with defendants that appear in person to address these mailings.
- Utilizes the PACSES computer system to review automated mail alerts associated with enforcement action and medical insurance information on cases. Reviews note reminder mail alerts sent by Officers and Senior Officers asking for clerical tasks to be performed or information that needs to be confirmed. Takes the requested action and makes the corresponding system updates. Notifies the Officers and Senior Officers when information is received and confirmed.
- Sends verification forms for confirmation of address and employment information.
MINIMUM EDUCATION AND EXPERIENCE:
- High school diploma or G.E.D. certification from a recognized issuing agency.
- Any equivalent combination of experience and training which provides the required knowledge, skills and abilities.
- A minimum of two (2) years of office experience with typing, data entry, and customer service emphasized.
MINIMUM KNOWLEDGE, SKILLS AND ABILITIES:
- Excellent written and oral communication skill to effectively communicate effectively with attorneys, clients, employers and judges.
- Ability to use independent judgment in the disposition of routine problems.
- Good organizational and time management skills.
- Ability to understand and carry out oral and written directions.

- Working knowledge of federal and state support laws and regulations as it pertains to the daily functions of the job.

PHYSICAL DEMANDS:
Work involves standing, walking, sitting, lifting, carrying, talking, hearing, using hands to handle, feel objects, tools, or controls, and reaching with hands and arms. Vision abilities required by this job include close vision and the ability to adjust focus.
Sitting and typing for extended periods of time is commonplace with the advent of personal computers and electronic means of correspondence. Articulating keyboards with attached mouse pads are used to alleviate some of the stress on the hand and back muscles. Screen glare guards or modernized low glare CRTs are used to reduce eye strain.
