What are the responsibilities and job description for the Support Staff V Hearing Unit position at County of Chester?
The SSS V provides advanced administrative support and clerical duties within their respective department. This person must have excellent organization, computer and typing skills.
Preferred Skills, Knowledge & Experience:
Computer Skills:
To perform this job successfully, an individual should have:
- Process special hearing dates and prepare files for the special hearing.
- Review and request assistance from court interpreters and/or sheriff, when needed.
- Notify clients of court hearings.
- Serve as courtroom clerk twice a month.
- Communicate with governmental agencies in other counties and states.
- Provide support to officers and investigators for rule court.
- Process contempt papers for investigators to be served on defendants in contempt of court.
- Provide accurate and up-to-date information to review at meetings held prior to court.
- Maintain a list of all cases scheduled for court.
- Docket, process and mail all orders from the judge (contempt, continuance, warrant, dismissal, etc.) in a timely manner.
- Coordinate and schedule paternity testing.
- Prepare documents for DNA testing.
- Perform DNA testing on a monthly basis (buccal swabbing of up to 40 people).
- Review and process invoices for DNA testing.
- Train staff on DNA testing.
- Notarize documents.
- Provide coverage for processing warrant quashes/releases.
- Familiarity with bar coding, Metro search, PACSES and the child support system preferred but not required.
- Knowledge of Pennsylvania statutes and the legal system is preferred but not required.
- Color vision (to interpret DNA swabs) is required for this position.
- Perform other duties, tasks and office functions, as determined (e.g., attend conferences and meetings, facilitate meetings, etc.).
- High School Diploma or General Education Degree (GED).
- Minimum of one year of general office experience.
- Intermediate skills in using a personal computer and various software packages
- Excellent verbal and written communication skills.
- Strong typing skills (minimum of 55 wpm).
- Ability to use office machines (fax, copier, calculator, etc.).
- Strong interpersonal skills.
- Proficiency in grammar and spelling.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- This position may require a general understanding of human resource guidelines.
- Ability to work as part of a team.
- Flexibility.
- Ability to interface effectively with all levels of county management.
Preferred Skills, Knowledge & Experience:
- Associate's degree from an accredited college or university with courses in Office Administration, or equivalent combination of education and experience.
- Excellent ability to establish priorities, work independently, and proceed with objectives without supervision.
- At least two years of customer service experience.
- Ability to establish priorities and carry tasks to completion.
- Excellent ability to handle and resolve recurring problems.
- Ability to multi-task.
- Ability to use all office equipment.
- Accurate and detail oriented.
- Excellent time management and organizational skills.
- Strong knowledge of county policies and procedure.
