POSITION: Department Clerk 1 (1 vacancy)
DEPARTMENT: Clerk of Courts
SALARY: Pay Grade 4 SEIU Bargaining Unit $12.47 Per Hour
HOURS: 8:30 AM – 4:30 PM Monday to Friday
(1-hour unpaid lunch) 35 Hours per Week
BENEFITS: Full County Benefits after 90 days probationary period
OVERALL OBJECTIVE OF JOB:
To perform clerical duties in the Clerk of Courts Office.
ESSENTIAL FUNCTIONS OF JOB:
- Works with all criminal, orphan court, juvenile and other court records that are filed in the office.
- Greet and assist all individuals who come into the office.
- Operates court computer system to look up cases and process payments.
- Responsible to log and track everything coming in or going out of the office.
- Copies and files court records.
- Answers all calls coming into the office and transfers to correct desk or office.
- Open and distribute mail within the office.
- Deliver documents to other county offices.
- Deliver deposit to banks at the end of each day.
- Work with others in office to file and process everything accurately and timely.
OTHER DUTIES OF THE JOB:
- Attends meetings or training sessions as necessary.
- Assists other staff as needed and assists in training of new staff.
- Performs other job-related duties as required.
SUPERVISION RECEIVED:
Receives occasional instruction and some supervision in regards to daily work duties from Supervisor.
SUPERVISION GIVEN:
None
WORKING CONDITIONS:
- Works indoors in adequate office space, lighting, ventilation and temperatures.
- Normal exposure to noise and stress, but subject to frequent disruptions.
- Normal exposure to indoor dust/dirt.
PHYSICAL AND MENTAL CONDITIONS:
- Must possess ability to record, convey and present information, explain procedures and follow instructions.
- Must be able to sit for long periods throughout the workday, with intermittent periods of standing and walking and occasional twisting, bending, stooping, and reaching as necessary to carry out job duties.
- Dexterity requirements range from coordinated movements of fingers/hands for typing and computer, to simple dexterity of feet/legs; torso as necessary to carry out job duties.
- Sedentary work, with occasional lifting/carrying of objects with a maximum weight of ten pounds.
- Must be able to pay close attention to detail and to concentrate on work.
QUALIFICATIONS:
- EDUCATION/TRAINING
High School diploma or equivalent. Legal documentation processing experience and computer experience preferred.
- WORK EXPERIENCE
Some experience in a professional office environment, or any equivalent combinations of experience and/or training.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- Must be able to speak and understand the English language in an understandable manner in order to carry out essential functions of the job.
- Must possess good communication and interpersonal skills.
- Must possess ability to function independently, have flexibility and the ability to work effectively with co-workers and the general public.
- Must possess ability to maintain confidentiality in regard to County information and records.
- Must possess the technical knowledge of operating personal computers and software and other office equipment with accuracy and reasonable speed.
- Must possess knowledge of modern office practices and procedures and the ability to perform same in an efficient manner.
- Must possess mental alertness, clerical and math aptitude and a general knowledge of business English and grammar and the ability to perform these skills with accuracy and with reasonable speed.
- Must possess the ability to work independently on complex clerical tasks.
- Must possess the ability to compose replies to routine correspondence.
- Must possess ability to meet and interact effectively with co-workers and the general public, and to respond accurately to routine questions/inquires regarding department operations and procedures.
- Must be able to comprehend and interpret legal documents and to perform legal research.
