JOB DESCRIPTION
Job Title: Civil/Criminal Court Clerk Reports To: County Clerk Court Services Supervisor
Department: Court Services Job Type: Full-Time
Pay Rate: $20/Hour Schedule: Mon-Fri
MISSION STATEMENT
Performs a variety of duties related to the effective administration of Court Services for Jerome County. The incumbent will be tasked with various customer service duties as well as responsibilities related to receiving payments for traffic violations and criminal penalties, answering questions and providing information by phone and in person as needed. In addition, performs clerical support functions involving accurate docketing and processing of legal documents in civil matters.
DUTIES AND RESPONSIBILITIES
Essential
· Enters new infraction and misdemeanor citations into Odyssey as well as case creation. Citations may be both handwritten and/or electronic citations.
· Cash Register
o Takes payments for citations, criminal case fines and fees, restitution payments, misdemeanor probation fees, workman’s compensation fees, records requests, and other line items.
o Balancing and reconciliation of till at the end of each business day.
· Assist customers at the counter and over the phone.
· Processes documents for infraction pleas taken over the counter and scheduling the infraction for court trial.
o Emails copies of the citations and the notice of hearing for the prosecutors.
· Enters disposition and/or fines in Odyssey after pleas and/or payments are made in each case.
· Possible court-related responsibilities may include:
o Email distribution of pleadings after court proceedings to jail, prosecutor, and public defender
· Transporting documents and information between buildings.
o Processes incoming and outgoing mail, including transporting to Post Office.
o Transporting documents and information between buildings.
· Process Criminal Pleadings
o Includes, but is not limited to, entering and processing documents related to Criminal Complaints, probation violations, Warrants, etc.
o Processes and issues criminal Summons and/or Warrants
o Processes, annotates, and emails various e-filed documents to appropriate parties in the criminal case.
· Process Civil Pleadings
o Includes, but is not limited to, entering and processing of documents related to civil protection orders, small claims, divorce and custody actions, evictions, etc.
o Processes Orders and Judgments entered in civil proceedings.
o Processes, annotates, and emails various e-filed documents to appropriate parties in the case.
· Process insurance citations
o Verification of insurance cards
o Processing Motions and Orders to Set Aside Default Judgment as required.
· Assists, on an as-needed basis, with scanning legacy files into the Odyssey database.
· Assists, on an as-needed basis, with processing records requests as requested.
· Obtains information from case files.
· Process faxes.
· Filing.
· Performs other related duties as required.
QUALIFICATIONS
Essential
· Sitting with intermittent moving within an office environment, talking and hearing (in person and by telephone), memorizing and seeing (e.g. documents, etc.), lifting of office supplies (e.g. binders, paper boxes, file boxes, etc.)
· Manual dexterity to perform office functions (e.g. typing, filing, collating, operating office equipment, 10-key, etc.)
· Repetitive motion required (typing)
· Typing (50 wpm)
· Computer experience, specifically data entry experience.
· Experience taking, handling, and balancing a cash drawer.
· Ability to maintain strict confidentiality.
· Strong customer service skills.
· Ability to assist the public in determining their needs and finding solutions.
· Good written and verbal communication skills including, but not limited to, spelling and grammar.
· Good organizational skills. Incumbent possesses the ability to organize and prioritize duties and responsibilities.
· Demonstrated ability to deal with the public under adverse conditions and to make decisions under pressure.
· Ability to perform essential duties efficiently and accurately with or without reasonable accommodations and without endangering incumbent or other employees.
- Reaching, climbing, and lifting (30-40 pounds weekly).
Additional
· Cross trains in other areas and assists other clerks as needed.
· Assumes the duties assigned by the County Clerk.
