General Summary:

Under the supervision of the County Clerk, Chief Circuit Court Clerk, and Lead Court Clerk, performs a variety of Circuit Court Case clerical tasks which may be of a confidential nature; work involves the exercise of judgment in the application of prescribed procedures and methods; work is performed under the general direction of the Lead Circuit Court Clerk and performs related duties as required. Primary functions of the job are to provide customer assistance, complex and varied legal, as well as financial functions related to Circuit Court programs. Employees work as part of a team and are responsible for ensuring the team meets its objectives.

Essential Functions:

1. Provides comprehensive customer service, including delivery of accurate, prompt and courteous assistance on complex policies, guidelines and standard practices to internal and external customers, both verbally and in writing.

2. Personal Protection Orders.

3. Due to MCL 780.621g – Set Asides.

4. Creates and maintains filed cases in applicable computerized systems, including the assignment of the appropriate Judge.

5. Enters and checks information and data into established spreadsheets, databases or computer systems.

6. Provides a variety of routine research in order to locate information regarding court cases or proceedings.

7. Assembles information into proper form, provides files to the appropriate Court/Judge and maintains control over filing of documents, records and files.

8. Monitors and maintains appropriate levels of supplies and materials in support of unit operations and activities.

9. Attends Circuit Court proceedings to assist the Judge, perform data entry and produce computer generated documents in the courtroom.

10. Performs a variety of additional complex assignments such as managing the jury selection process for Circuit Court, assisting with case flow management, preparing legal documents for filing and entering, and drafting court forms, represents the County Clerk’s office at various meetings with Circuit, District and Probate judges, their staff, and outside agencies.

11. Generates and reviews case management report identifying those cases which need to be reported/abstracted/corrected to the Secretary of State and/or Michigan State Police Criminal History Division.

12. Performs duties of Vital Records Clerk such as receiving, processing and recording documents for births, deaths, marriages and other records processed by the County Clerk. Assists customers at the counter and by telephone by responding to inquiries related to vital records, and the procedures of the Clerk’s office.

13. Processes Passport Applications, including responding to inquiries, assisting in application preparation, processing photographs, and reviewing for completeness, and forwarding with supporting documents to the Federal Government for completion of process.

14. May perform other support staff functions as requested.

Required Knowledge, Skills, and Abilities:

1. Proficiency in English grammar, spelling, punctuation, and simple mathematical functions such as addition, subtraction, multiplication, division, percentages, ratios, etc.

2. Specialized knowledge of Circuit Court principles, practices, and proceedings.

3. Knowledge of legal terminology, procedures, and equipment.

4. Ability to make minor decisions in accordance with laws and established policies.

5. Ability to maintain good interpersonal relationships.

6. Ability to understand and follow complex oral and written directions, ability to detect errors, determine causes, and make corrections as appropriate.

7. Ability to develop and implement clerical procedures and operations from general instructions.

8. Ability to explain complex policies and processes in layman’s terms.

  • Ability to accurately organize and maintain paper documents and electronic files.
  • Ability to maintain the confidentiality of information and professional boundaries.
  • Able to use County resources effectively and efficiently.
  • Ability to work regularly and work under stressful situations.

3. Maintain and balance daily cash drawer

Employment Qualifications:

Education: High school graduation or equivalent. Some addition coursework in Criminal Justice or related field of study is preferred.

Experience: Two years of experience in a court, law office, or other legal setting, and providing familiarity with legal terminology, processing of court cases. Four-year degree in criminal justice or related criminal field of study may substitute for years of experience.

Physical Requirements:

· Ability to enter and access information from a computer.

· Ability to lift and carry files, records, books, and indexes weighing up to 25 lbs.
