Schedule: Monday-Friday, 8:00 am-4:30 pm

McLean County’s Court Services Department is looking for a detail-savvy, deadline-driven Administrative Coordinator who can juggle calendars, budgets, reimbursements, and grant reporting — all while keeping our office running like a well-oiled machine.
This isn't your average desk job. You’ll be the behind-the-scenes pro who supports everything from payroll and grant management to supply orders and new hire onboarding. You'll also work directly with state agencies like the Administrative Office of the Illinois Courts and help ensure our financial and operational systems are running smoothly.
What You’ll Be Doing:
- Coordinating office operations for Court Services and the Juvenile Detention Center.
- Managing grant-related documentation and reporting (local, state, and federal).
- Assisting with budgets, processing invoices, and tracking spending (including grants).
- Processing payroll and handling HR-related forms (new hires, changes, resignations, etc.).
- Creating and posting job listings and completing onboarding for new staff.
- Scheduling travel and conference arrangements for staff.
- Keeping inventory stocked, equipment running, and the office functional.
- Liaising with other county departments and external partners.
- Pitching in with front desk coverage or community service intakes when needed.
You’ll Excel If You:
- Are a natural organizer who loves managing details, systems, and timelines.
- Have experience in grant monitoring and financial reporting.
- Know your way around Microsoft Excel, Word, PowerPoint — and love a good spreadsheet.
- Communicate clearly, professionally, and respectfully — both in person and in writing.
- Can work independently, multitask, and adapt as priorities shift.
What You Need:
- Associate’s degree in business administration or a related field.
- 3–5 years of experience in administrative, accounting, or clerical roles.
- Experience with grants management or financial oversight.
- A valid Illinois driver’s license.
- A bachelor’s degree
- Familiarity with court systems or probation administration
Physical Work Environment:
This position is primarily office-based with light physical demands (lifting up to 20 lbs). Occasional travel may be required, including local driving in all weather conditions.
