Courage to Connect Mental Health Center is an outpatient practice seeking a full-time Office Coordinator to join our growing organization in our Glenview office. This position will have multiple front-end responsibilities and must have a warm, welcoming and energetic manner. We are looking for the right fit to join our office staff.
Office Coordinator responsibilities will include:
- Greets all clients who enter the practice; set an excellent first impression.
- Answers incoming calls in a warm and welcoming manner.
- Respond to emails quickly
- Maintains neat and orderly reception area, therapy rooms and cleanliness throughout office
- Handle intake calls, schedules intake/first time appointments for four departments
- Communicate intake information to new patients; verifying the accuracy of demographics, capture insurance details, send out intake forms and practice information in a timely manner.
- Enter new patient details into our EMR System.
- Call and collect payments for appointments during office hours.
- Opens practice in the morning and set rooms and refreshment area for the day.
- Performs administration duties to ensure efficient operations of the center to include computers, office equipment, copiers, fax, scanner, postage equipment.
- Manages inventory levels and orders supplies for all locations
- Manages internal communication for newsletters, company updates and external updates.
- Provide Weekly and Monthly Reports to leadership team
- Manage external communication to referral sources including but not limited to sending out quarterly newsletters, service announcements, etc.
- Order business cards, thank you cards, office swag etc.
- Connect with referral sources in the community to increase new patient referrals and build upon Courage to Connects excellent community reputation.
Office Coordinator Requirements:
- Bachelors Degree Required
- 1-2 years of administration or intake coordinator experience
- Excellent written and verbal communication skills
- Professionalism
- Great organization skills and detail oriented
- Ability to multi-task in a fast-paced environment; handle high volume of phone calls and emails daily.
- Comfortable and knowledgeable with computers.
- Passion for Mental Health
- Team Oriented- Ability to motivate and work well with others.

Intake Coordinator - Full-time | In-person | M-F
Job Type: Full-time
Pay: $20.00 - $23.00 per hour
Expected hours: 30 – 40 per week
