This role is based in our NYC office.
What You'll Do
- Act as a force multiplier for the CEO by managing and optimizing priorities, workflows, and communications
- Serve as the first line of defense on inbound inquiries, ensuring the CEO's time is focused where it matters most
- Own and manage the CEO's complex calendar, including scheduling internal and external meetings across multiple time zones, and anticipating potential conflicts or issues
- Handle travel coordination, including flights, hotels, ground transportation, and itinerary management
- Draft, edit, and prep internal and external communications (Slack messages, emails, thank you notes, follow-ups, etc.)
- Plan and execute company events such as Board of Directors meetings, team off-sites, holiday gatherings, and leadership summits
- Ensure the office runs smoothly by managing key vendors (internet, cleaning services, etc.), ordering supplies, and providing a welcoming experience for visitors
- Provide discretion and confidentiality while being exposed to highly sensitive information and strategic initiatives
- Strong critical thinking and problem-solving skills with the ability to anticipate needs and take proactive action
- Quick to learn and able to navigate ambiguity in a fast-changing environment—the ability to think critically and stay adaptable matters more than years of experience
- High level of initiative and resourcefulness, with a track record of taking ownership and seeing tasks through to completion
- Exceptional organizational skills with sharp attention to detail and consistent follow-through
- Proven ability to manage multiple priorities in a fast-paced, dynamic setting
- Excellent written and verbal communication, with a focus on clarity, precision, and professionalism
- Unwavering discretion and sound judgment when handling sensitive information
- Commitment to a role that goes beyond a traditional 9-5, acting as an extension of the CEO and leadership team
- Prior experience as an Executive Assistant to a Founder or CEO at a high-growth startup
- Experience managing Board of Directors communications and logistics
- Event planning experience, from small executive dinners to larger company-wide events
- Familiarity with tools like Microsoft Office, Slack, Notion, and project management platforms
- Interest in healthcare, life sciences, or mission-driven companies
