Description : Job Overview

The position is responsible for supporting the procurement department in relation to FF&E and OS&E purchases, new hotel development, and renovations. This position is the bridge between VP, Procurement, vendors, the accounting team, and the logistics teams to ensure the success of the project procurement, expediting, and installation of FF&E, OS&E, and Guest Supplies. This position will oversee the project from inception through project completion, while being responsible for providing expediting reports and maintaining budgets for clients.

Supervises

Does not directly supervise anyone, but partners with the Vice President, Procurement and Corporate Procurement Coordinator overseeing the project vendor team.

Primary Job Functions

  • Responsible for the day-to-day support for the Procurement department including :
  • Collaborate with Vice President, Procurement to establish the project timeline, budget, and deadlines
  • Create and issue purchase orders related to each assigned project, adhering to scope, schedule and budget
  • Obtain order acknowledgements to ensure accuracy of order and facilitate shop drawings and all required approvals
  • Monitor and review status reports from receiving warehouses and updating the expediting information in procurement software
  • Transfer specification documents into purchasing software
  • Coordinate with the project team to resolve issues related to product availability, product reselections, and changes.
  • Ensure all FF&E and OS&E items meet the required standards of quality, durability, and design specifications
  • Assist in gathering and coordinating FF&E quotes
  • Creation / maintenance of detailed Excel budget spreadsheets
  • Build cost comparisons and preliminary pricing to review the product and services budget
  • Verify product information and quotes based on interior design plans and specifications
  • Create, maintain, and organize specification books
  • Document storage and uploading of quotations to purchasing software
  • Manage the schedule and oversee FF&E and OS&E deliveries and installation
  • Attend meetings as necessary. Take meeting minutes
  • Assist in the preparation of scheduled reports
  • Maintain electronic and hard copy filing system
  • Maintain and organize materials library
  • Maintain purchase order log, including expediting updates to review with Vice President, Procurement on a regular basis
  • Coordinate and schedule deliveries / shipments with vendors and warehouse
  • Assist accounting to complete the monthly draw requests for development projects
  • Coordinate with accounting to ensure that invoices and balances are paid according to vendor terms
  • Financially close out projects
  • Assist with the develop and implement efficiencies to processes and procedures
  • Analyzes RFQs against budget
  • Resolve supplier issues in reference to quality issues and / or timing of delivery
  • Collect and administer documentation during the close out process, such as specifications, warranty, flame certifications, and cleaning information.
  • Payable & Receivable for development projects, including but not limited to tracking fees
  • Develop, source and maintain vendor relationships
  • Acts as liaison between supplier and project team, complying with all processes and procedures
  • Assist properties with sourcing needs for replacement or new FF&E and / or OS&E
  • Knowledgeable of manufacturers, price points, product expediting and logistics principles
  • Travel to model room, warehouses, site visits, as needed
  • Other duties as assigned.

Qualifications

Educational and Experience Requirements :

  • Minimum two years’ experience in hospitality procurement
  • Experience in general accounting, accounts receivable and accounts payable a plus
  • Experience with hospitality logistics
  • Experience completing time critical projects responsibly
  • Strong math and analytical skills
  • Qualifications / Skills and Abilities Requirements :

  • Proficiency in Microsoft Excel
  • Experience with Exxpedite software
  • Experience with QuickBooks software is a plus
  • Must be able to manage multiple priorities and able to work well in a fast-paced, dynamic environment
  • Ability to work in a team environment as well as self-motivated in individual projects
  • Strong personal accountability and work ethics
