JOB OVERVIEW
Responsible for the efficient and professional coordination of any assigned event or meeting group.
ESSENTIAL JOB FUNCTIONS:
- Perform administrative duties relevant to account responsibilities in compliance with corporate guidelines. Document and organize detailed requirements of each function that may or may not include food and beverage requirements with clients and hotel operations team. Coordinate activities of various departments to service accounts through the development of group resumes.
- Communicate with sales, front office and reservations in order to coordinate and monitor guest room blocks and special reservation needs. Assign banquet/meeting rooms set up based on needs of clients, e.g., classroom, rounds. Monitor group activity providing assistance as needed.
- Establish rapport with meeting planners while promoting hotel facilities and services. Conduct walking site inspections throughout property.
- Advise sales staff as to ability to accommodate client needs. Assist sales staff in promoting hotel, developing leads and securing rebooking’s.
- Plan and conduct pre and post event meetings with clients and respective departments.
- Document tracking of group activity. Access and input data into a computer system to generate account history reports.
- Communicate both verbally and in writing to provide clear direction to staff.
- Perform any other job-related duties as assigned.
QUALIFICATIONS, SKILLS AND ABILITIES:
- Minimum 2 (two) years previous experience as a Conference/Convention Services Manager preferred.
- Excellent time management, self-management and self-motivation. Must be organizationally savvy with a keen focus on detail.
- Ability to maintain composure under pressure.
- Have deep desire to always produce quality results – taking pride in work.
- Flexible schedule to include evenings, weekends and holidays as dictated by business demands.
- Demonstrate resilience and flexibility in the face of change.
- An innate desire to exceed guest expectations and have an uncompromising approach to service and follow through.
- Candidates may be called upon to work extended workweeks, including weekends or holidays, to accommodate a client's needs as well as any functions they are overseeing.
