Summary
As an Administrative Assistant at Covenant Presbyterian Church, you will play a vital role in supporting the church's operations and enhancing communication within our community. This position is essential for ensuring smooth administrative processes and contributing to the overall mission of our church.

JOB DESCRIPTION
Children’s and Youth Assistant
Incumbent: Open

Reports Primarily to: Children’s and Youth Staff
Reports Secondarily to: Executive Pastor
Full Time/Part Time: Full Time 35 hours per week

Principal Function
- This position will provide administrative support for the committees and staff who lead the children’s and youth ministries of the church.
- This position will provide administrative support for the children's ministries of the church including Youth, Early Childhood, and Children's Ministries. The Children’s and Youth Administrative Assistant performs administrative duties which include compiling information and analyzing data, and preparing reports; assisting with administrative activities of a department project or program; and prepares and processes correspondence and general papers.
Specific Responsibilities
Children’s Ministries
- Support and assist with all aspects of the Children’s Ministry: Sunday School, Midweek, nursery, special events, etc.
- Sunday School/Children’s Church: maintain teacher screening forms, teacher covenants, advertising, communication, teacher notebooks, curriculum needs, VBS, Promotion Sunday, memory work, teacher appreciation, teacher scheduling, volunteer coordination, reminders, teacher birthday cards, and all other needs.
- Nursery: reminder cards, nursery administration needs, baby milestone mailers, etc.
- Support and assist all special Events: VBS, Promotion Sunday, etc.
- Maintain accurate records in CCB for all children’s ministry
- Serve as the primary administrative assistant for the Children’s Committee. This includes but is not limited to setting of meetings, preparing materials, coordination of volunteers related to those ministries, etc.
- Assist and support Communicants Class teachers, parents, and participants
- Print weekly children's bulletin
Youth Ministries
- Assist with all aspects of the Youth Ministry: Sunday School, Midweek, Small Groups, special events, etc.
- Sunday School: maintain teacher approval and screening forms and checklists, teacher covenants, advertising, communication, teacher appreciation, teacher scheduling, volunteer coordination and all other needs related to Sunday School.
- Serve as the primary administrative assistant for the Youth Committee. This includes but is not limited to setting of meetings, preparing materials, coordination of volunteers related to those ministries, etc.
- Communication: Maintain and facilitate communication for all aspects of the youth ministry, including registration for all events and event coordination, social media. Posters, mailers, etc.
- Special Events: RYM, Ridge Haven, etc. (advertising, registration, communication, payments, and all administration related to all special events.)
- Maintain accurate records for all youth ministry
- Assist Youth Ministry committee as necessary
General office support
- Answering the telephones for general church needs and ministry specific inquiries
- Perform other related duties as required
Qualifications
- Knowledge: Office practices and procedures, proficient in Microsoft Office, knowledge required to compose and edit correspondence and content
- Skills: Excellent verbal and written communication skills, ability to work independently, show initiative, high level of detail, strong organization skills, time management skills, problem solving skills
- Abilities: ability to maintain discretion and confidentiality, ability to be flexible and adaptable in a variety of situations, prefers to collaborate with others, ability to serve others
- Personal Attributes: must be a professing Christian, honesty, trustworthiness, respectfulness
Compensation
Salary and other benefits will be determined by the Session after input from the Executive Pastor and Church Administrator. Vacation periods, insurance coverage, pension and other benefits are indicated in the written policy that is reviewed and updated by the Personnel Committee periodically.
