JOB OBJECTIVE: Contribute to the efficient and seamless recruiting process for Cowan Systems by coordinating travel arrangements for new hires as well as incumbent drivers, while also managing the onboarding and orientation process for all new hires. JOB OBJECTIVE: Contribute to the efficient and seamless recruiting process for Cowan Systems by coordinating travel arrangements for new hires as well as incumbent drivers, while also managing the onboarding and orientation process for all new hires. Strive to enhance employee satisfaction and a professional, efficient and welcoming onboarding process.
Essential Job Functions
- Manage all onboarding paperwork to completion for each new hire pre-orientation
- Collect and upload all completed onboarding forms and documents in the ATS system used
- Advise the recruiting team on pre-employment drug screen and DOT physical status prior to orientation
- Coordinate driver travel and lodging for new hires and incumbent staff as needed
- Communicate travel plans to the appropriate parties
- Set up the orientation room every week for on-site orientations. Make sure orientation room is stocked with supplies/drinks/etc
- Ensure orientation runs smoothly and on time
- Collaborate with Safety department on new hire road testing to ensure new hires are where they need to be for testing
- Confirm new hires in orientation have all outstanding items (offer letter, Paylocity, drug screen/physical) completed – if not, assist driver with completing the needed items prior to the start of class
- Advise recruiting & supporting documents via email of any on-site orientation schedule changes and/or conflicts that occur during orientation
- Record/Track orientation cost – travel, lodging, meals, etc
- Assist Management with department expense reports
- Track driver referrals for each orientation week and provide to Driver Payroll Department
- Display a positive attitude in person and on the phone
- Provide excellent communication/service to new hires and supporting departments via phone and email
Education, Experience, And Training Requirements For The Job
- Associate’s degree OR equivalent experience
- Strong telephone etiquette and skills
- Good organizational, multi-tasking skills
- Microsoft office skills-Intermediate (Word, Excel, Outlook)
- 1-2 years of relevant administrative experience
- Strong analytical skills.
- Effective interpersonal communication skills- oral and written.
- Must be able to effectively and accurately complete work with a sense of urgency.
- Possess effective organizational and prioritization skills to manage multiple tasks
- Ability to demonstrate professional and positive presentation of Cowan Systems, LLC and its mission to new hires
- Ability to maintain composure and react professionally during periods of stress.
- Demonstrate confidentiality standards and judgment in handling personal information.
- Must be self-motivated, able and willing to work independently and get results.
- Proficiency in various computer programs including Microsoft Excel, Word and Outlook. Willingness and ability to learn new software programs.
- Hourly pay: $20-$22 per hour (Depending on knowledge & experience)
