Office Assistant – Somerset County, NJ (Starting at $24-27/hr)
A dynamic and growing optometrist practice is looking for a motivated Office Assistant to join their office in Somerset County, NJ. The Office Assistant is responsible for providing exceptional service to patients and overseeing various administrative tasks in the office. This is a full time role, from Tuesday-Saturday.
Hours of Operation:
Tuesday 10 AM–7 PM
Wednesday 10 AM–7 PM
Thursday 10 AM–5 PM
Friday 10 AM–5 PM
Saturday 9 AM–2 PM
Sunday Closed
Monday Closed
RESPONSIBILITIES:
- Oversee patient scheduling, appointments, and follow-ups to optimize patient care and office productivity.
- Manage daily operations of the optometry office, including customer support, merchandising, inventory management, training and safety.
- Greet and assist patients in a warm and professional manner.
- Provide exceptional customer service, addressing patient inquiries and concerns promptly and professionally.
- Maintain patient records and ensure confidentiality in accordance with HIPAA guidelines.
- Handle billing, coding, and insurance claims, ensuring accurate and timely processing.
- Coordinate with suppliers/vendors to maintain inventory of office and medical supplies.
- Implement and maintain office policies and procedures to ensure compliance with healthcare regulations and standards.
- Perform administrative tasks, including filing, data entry, and correspondence.
- Communicate effectively with internal team to support daily operations.
- Ensure the office is clean, organized, and well-maintained to provide a welcoming environment for patients.
- Assist the optometrist with additional tasks and support clinical operations.
QUALIFICATIONS:
- 2-5 years of experience as an Office Assistant, Receptionist or similar role
- Experience with medical office software or similar computerized systems
- Strong organizational skills with the ability to multitask effectively
- Proven knowledge of optical terminology and products
- Ability to work well in a team environment and collaborate with colleagues
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Friendly and professional demeanor with a customer service mindset
- Ability to handle sensitive information with confidentiality
- Communicate effectively at all levels (both written and verbal)
