Job Summary
The Office Manager/Admin Assistant plays a critical role in ensuring the efficient operation of our oilfield services company by managing office functions, supporting executives, and handling administrative tasks. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities
Office Management
- Oversee daily office operations, including ordering supplies, managing vendors, and maintaining a clean, organized workspace.
- Ensure office equipment (printers, phones, computers) is functioning properly and coordinate repairs when needed.
- Develop and implement office procedures to improve efficiency.
Administrative Support
- Assist executives and managers with scheduling meetings, preparing reports, and handling correspondence.
- Maintain and organize company records, contracts, and safety compliance documents.
- Prepare invoices, track expenses, and assist with basic bookkeeping tasks.
- Handle incoming calls, emails, and visitors, ensuring professional communication.
Operations & Logistics Support
- Coordinate travel arrangements for field crews, including lodging and transportation.
- Assist with inventory tracking and order processing for equipment and supplies.
- Support safety and compliance documentation, ensuring records are up to date.
Qualifications
- Experience: 3 years in an administrative, office management, or similar role, preferably in an oilfield services, construction, or industrial setting.
- Education: High school diploma required.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Dynamics or other accounting software is a plus.
- Soft Skills: Strong organizational, communication, and problem-solving abilities. Ability to handle confidential information with discretion.
