Scheduled Hours 40 Position Summary The Department of Psychiatry at Washington University School of Medicine is a national leader in high-impact mental health, especially in our research mission (#6 in NIH funding) and education mission (large and high-quality psychiatry residency and child psychiatry fellowship). The ideal candidate will thrive under the opportunity to strategically grow and transform the department, including in areas of research, education, as well as major clinical initiatives aimed at improving access to high-quality mental health care. This will be accomplished by collaborating and partnering with a vibrant leadership team which consists of Eric Lenze, MD, Department Head (new as of 2022), Cynthia Rogers, MD, Child and Adolescent Psychiatry Division Director, 5 Vice Chairs (VC for Translational Research, VC for Basic Research, VC for Clinical Affairs, VC for Education, and VC for Diversity, Equity, and Inclusion) and the Executive Director. Major priorities include: • Restructuring the Business Office to better position the department for growth and transformation. • Strategic operational/financial reporting and oversight which spans across the research, education, clinical, and community impact missions. • Helping to oversee the restructuring of the department from a centrally-run organization to one that has multiple academic divisions with an increasing clinical footprint. • Increasing diversity, equity, and inclusion within the department and enhancing mental health equity. The Executive Director will provide strategic direction for administrative functions within the department by integrating business activities/systems and creating action and business plans to meet mission-related goals and objectives of the medical school, in compliance with all policies and procedures. Job Description This position is hybrid. Primary Duties & Responsibilities Directs department business functions, such as research administration, clinical operations, finance, accounting, billing/collection, human resources, facilities and space management, compliance and patient safety, and information systems. Lead and manage business office team including development of staff, trains business office leadership team. Plans/directs business functions with Department Head and Executive Council, faculty, and staff to enhance academic/research/clinic operational efforts. Negotiates/recommends business aspects of contractual relationships, providing systems/procedures to implement contract administration. Maintains detailed reporting to track/improve/record business related information and measure operations. Develops department budget process, providing billing/collection policies/practices, accounting methods and related financial programs. Develops annual department business plan including short and long term goals and objectives which includes a multi-year financial forecast based on department objectives; considers and addresses the financial impacts of new initiatives as well as those associated with internal and external trends and changing regulations (e.g., reimbursement changes and grant opportunities); ensures long-term, fundamental financial stability and growth of the department. Recommends and develops strategies for cost control and revenue enhancements. Provides a strong, sound infrastructure to support the faculty and tripartite mission of the department and the School of Medicine. Ensures staff organizational structures meet the needs of the department. Facilitates compliance with Governmental agencies, University, Medical School and Department mandatory training programs. Monitors department salary administration. Plans future utilization of existing departmental facilities and recommends allocation and use of new and remodeled space or service locations. This is done in collaboration with the university’s facilities and space management team. Represents the Department/Medical School/University and participates as a member on various committees and activities on both a routine and ad hoc basis. Acts as liaison for Department Head with faculty, staff, Medical School/University Administration, various hospital administrators/staff, referring physicians, patients and families, vendors and other associates representing the Department in a positive and professional manner. Preferred Qualifications Experience in an academic medical center or research environment. Thorough knowledge of university administrative systems is strongly desired. Demonstrated ability in strategic planning, financial and business forecasting, financial management and budgeting. Ability to communicate effectively with diverse populations in a complex academic environment. Strong leadership, management and organizational skills, with emphasis on analytical thinking, negotiation and conflict management skills. Ability to deal effectively with ambiguity, make quality decisions, set one’s own and others’ priorities, motivate staff, be flexible and multi-task. Knowledge of mental health field and academic psychiatry operations. Ability to effectively align teaching, research, patient care, community impact, and DEI missions with financial and administrative priorities. Current knowledge of general medical business administration practices, ability to develop programs with extensive internal/external faculty/researcher/staff and working knowledge of current information business systems. Demonstrated effective verbal, written and interpersonal communication skills including ability to present to senior leadership. Required Qualifications Master’s degree in business or related field or equivalent experience. At least ten years of progressively responsible managerial experience to include strategic business planning, financial and programmatic feasibility studies, complex financial analysis and financial forecasting, and budget preparation.
