We are seeking a proactive, detail-oriented and knowledgeable senior level Benefits Administrator to manage and administer employee benefit programs across our multi-state operations, including New York, Pennsylvania, North Carolina, South Carolina, Virginia, Georgia, Florida, Ohio, and remote team members. This role will be responsible for enhancing the overall employee experience by effectively managing health and welfare benefits, voluntary benefits, retirement benefits, and leave and disability programs. This role is integral to ensuring compliance, optimizing benefit offerings, and providing excellent employee support in a growing, dynamic AEC environment.

What You Bring To The Table
- Bachelor’s degree in Human Resources , Business Administration, or a related field (preferred).
- Minimum of 7 years of experience in benefits administration, preferably with a multi-state employer, or equivalent combination of education and experience.
- PHR, SHRM-CP, or CEBS professional designation preferred.
- Strong knowledge of federal and state regulations related to benefits programs (ACA, ERISA, COBRA, FMLA, PFL, ADA, Section 125, Medicare).
- Experience with HRIS and benefits administration systems (ADP Workforce Now preferred).
- Experience building custom reports and familiarity with payroll and compensation (preferred).
- Proficient in Excel for data analysis and reporting. Experience with Microsoft Office tools (Word, PowerPoint, Teams, SharePoint, OneDrive, CoPilot) is desirable.
- Strong communication skills, with the ability to educate employees on benefits programs.
- Ability to manage multiple priorities in a fast-paced environment with strong organizational skills.
- Self-directed with a strong initiative and the ability to complete tasks independently.
- Benefits Administration: Manage health and welfare benefits (medical, dental, vision, FSA, HSA, disability insurance, life insurance, tuition, etc.), retirement plans, and executive incentive programs. Ensure smooth administration and employee support.
- Collaboration with Payroll: Work with payroll to ensure accurate deductions and perform monthly reconciliations, audits, and administrative tasks related to benefits and payroll.
- Open Enrollment & Education: Lead annual open enrollment, coordinate with brokers/vendors, manage and audit ADP, and conduct employee meetings. Develop and deliver benefits education materials and new hire orientation training.
- Compliance: Ensure adherence to benefits-related laws (Section 125, ERISA, ACA, COBRA, QDROs, ACA reporting, etc.). Maintain compliance across multiple states and manage non-discrimination testing, required notices, and required filings.
- HRIS & Data Management: Maintain accurate benefits data in HR systems, manage enrollments, changes, terminations, and maintain ADP file feeds for carrier connections.
- Leave Management: Administer FMLA, disability leaves, ADA, state-specific leaves, workers' compensation, and company leave policies in compliance with applicable laws.
- Wellness Programs: Collaborate on wellness events and campaigns, and contribute as a member of the wellness committee.
- Employee Support: Serve as the primary contact for benefits inquiries, assisting employees with coverage issues and leave administration.
- Vendor & Broker Relations: Build and maintain relationships with brokers, carriers, and third-party administrators to optimize offerings and manage renewals.
- Benefits Planning: Collaborate with the Director to develop strategic recommendations for benefits programs. Analyze industry trends to ensure competitive offerings. Participate in benefit and compensation surveys.
- Reporting: Create and present reports on program offerings and trends, using data from brokers, carriers, and TPAs.
- Process Improvement: Identify and implement best practices to improve benefits administration and employee experience. Maintain procedures for assigned benefits processes.
- Other Duties: Perform additional tasks related to HR, benefits, wellness, leaves of absence, compensation, payroll, HRIS, compliance, and acquisition activities.
