Executive Assistant’s responsibilities include managing calendars, making travel arrangements, setting up meeting details/reservations and preparing expenses and other reporting requirements. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. You will contribute to the efficiency of our business by providing personalized and timely support to the senior leadership team.

RESPONSIBILITIES:
- Provide high-level administrative support to senior executives
- Serve as the primary liaison among executives, employees, clients, and other external partners.
- Oversee the timely and accurate management of information flow, ensuring that all relevant data is effectively communicated and exchanged.
- Oversee calendar management, including scheduling and prioritizing meetings, appointments, and events.
- Oversee the detailed coordination of meeting logistics (domestic and international), encompassing venue and hotel selection, organization of offsite meeting arrangements, and the timely delivery of all necessary meeting materials prior to major events, including board meetings, staff meetings and manager meetings.
- Prepare PowerPoint presentations for Town Hall meetings, group meetings, Board of Directors BOD) meetings, and other relevant meetings.
- Prepare and submit expense reports, track expenses, and ensure compliance.
- Prepare weekly, monthly, or quarterly reports by collecting and analyzing data.
- Assist with office tasks, such as ordering supplies, managing equipment, and maintaining a clean and organized workspace.
- Format information for internal and external communication – memos, emails, presentations, and reports.
- Screen and direct phone calls and distribute correspondence.
- Conserve executives' time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
- Contribute to team effort by accomplishing related results as needed.
- All other duties as assigned.
- Four or more years of experience in administrative role reporting to executives.
- Excellent time management, prioritizing tasks, and managing multiple projects simultaneously.
- Strong written and verbal communication, including active listening and the ability to effectively convey information.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- A strong background in administrative tasks, such as coordinating onsite and offsite (domestic and international) meetings, travel arrangements, and managing correspondence.
- Ability to identify and resolve issues efficiently and proactively.
- Professional demeanor, ability to work collaboratively, and build rapport with colleagues and clients.
- Ability to adjust to changing priorities and work effectively in a fast-paced environment.
