The Position:
The Front Office and Customer Service Manager oversees the efficient execution of various office responsibilities, including acting as the primary liaison between the company and customers, managing product shipping and receiving, handling accounting tasks, and providing support to both internal and external customers.
Duties & Responsibilities:
Marketing / Engineering Assistance
- Help to create market intelligence to improve our win rate of new projects.
- Provide guidance, technical assistance, and support to customers & prospects looking to engage our services.
- Follow up on quotes, receive feedback from customers for all quotes submitted.
- Receive and confirm customer purchase orders, gather and compile all technical data, and set up the quote and engineering folders.
Business Office
- Serve as the liaison between the Company and the customer.
- Follow up on quotes, receive feedback from customers for all quotes submitted.

- Answer phones and route calls as necessary.
- Participate in lead meetings and provide support to the team as needed, including gathering additional information from the customer or negotiating changes to a project.
Shipping and Receiving
- Create packing lists in Sage system.
- Set up and coordinates freight with logistics companies, suppliers & customers.
- Generate bill of lading.
- Create packaging labels.
- UPS & FedEx shipments
- Send tracking information to customers.
- Meet trucks at dock to ship/receive materials.
Accounting
- Generate and submit invoices to customers.
- Manage the accounts receivable. Make collections calls as necessary to ensure timely payment is received.
- Receive and enter material/sub-contract receipts and transactions.
- Manage the accounts payable and pay vendors.
- Answer phones and route calls as necessary.
General Office Duties
- Serve as the liaison between the Company and the customer.
- Participate in lead meetings and provide support to the team as needed, including gathering additional information from the customer or negotiating changes to a project.
- Ensure a safe and clean working environment.
- Other jobs and duties as assigned by supervisors or management.
Education & Experience Requirements:
- 2 year degree in business/marketing/accounting minumum with a Bachelor's degree in engineering or related field preferred.
- Proficiency in Microsoft Office applications.
- Strong organizational and time management skills.
- Strong interpersonal and customer service skills.
- Strong written and verbal communication.
- Must exercise and maintain a high degree of confidentiality.
- At least one year of experience in cost estimating, ideally in a manufacturing environment.
- Broad exposure to casting, machining, assembly, tooling, plastics, and other processes is desirable.
