The Administrative Coordinator is a key support role, responsible for managing front-office operations and providing clerical support for clinical programs. Working closely with the Administrator and/or Director of Nursing, this position ensures the accuracy and maintenance of administrative, medical, billing, payroll, and personnel records, while fostering a professional and efficient office environment.

The Administrative Coordinator is a key support role, responsible for managing front-office operations and providing clerical support for clinical programs. Working closely with the Administrator and/or Director of Nursing, this position ensures the accuracy and maintenance of administrative, medical, billing, payroll, and personnel records, while fostering a professional and efficient office environment.
- Route incoming calls and process messages promptly.
- Handle and distribute mail and deliveries; coordinate outgoing mail and maintain logs.
- Create and manage correspondence, forms, policies, and reports.
- Manage office and medical supplies; ensure equipment is operational.
- Coordinate with the corporate purchasing manager for equipment and supply needs.
- Assemble and maintain clinical information and medical records.
- Organize patient and employee files according to company policy.
- Complete billing processes and collaborate with Billing and Collections Coordinators for accuracy.
- Assist with payroll processing, including timesheet verification and check requests.
- Prepare and maintain various documents, logs, and purchase orders.
- Support new hire processes, maintain employee files, and manage the employee database.
- Monitor building and grounds upkeep in coordination with the local Administrator.
- Education: High school diploma required; associate’s or bachelor’s degree in business administration or a related field preferred.
- Experience: Previous administrative experience in a healthcare setting is preferred.
- Experience with financial reporting/billing and ICD-10/CPT coding preferred.
- Familiarity with third-party payors and pre-certification processes preferred.
