Position Overview
We are seeking a dedicated and detail-oriented Operations Assistant to join our team. The position will be responsible for several key functions of the operation. This includes general receptionist duties, on-boarding of new health care staff, interviewing candidates, new hire orientations, general scheduling duties and reporting. The ideal candidate will have excellent communication and organizational skills and a passion for helping others succeed in their roles.
Key Responsibilities:
Reception
- Answer incoming calls, direct them to the appropriate person. They may also provide basic information about the company or services.
- Perform administrative tasks such as filing, mail handling and office supply replenishment.
On-Boarding
- Guide applicants for hire through the hiring process including new hire documentation (e.g., credentials, I-9, W-4, direct deposit forms, etc.) Orientation sessions in conjunction with the Director of Patient Services or Registered Nurses. Prepare on-boarding materials, welcome packages, name badges and personnel charts.
- Ensure compliance with company policies and regulatory requirements during the on-boarding process. Maintain accurate and up-to-date on-boarding records in compliance with company standards.
Scheduling
- Coordinate and schedule new staff with potential case work. Assist with Schedule changes and updates as needed.
Qualifications:
- Bachelor's in Human Resource Management or Business Administration
- OR High school diploma and related experience in reception, on-boarding, interviewing and compliance standards.
- Strong communication and interpersonal skills with the ability to interact effectively with individuals at all levels.
- Highly organized with exceptional attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Full understanding of file management, scanning and file types.
- Ability to handle sensitive information with confidentiality and professionalism.
- Positive, approachable attitude with a focus on helping others succeed.
- Ability to multitask and prioritize in a fast-paced environment.
