Job Overview
We are seeking a dedicated, dependable, and professional Receptionist to join our law firm. The ideal candidate will serve as the first point of contact for our clients and visitors, providing exceptional service while managing front desk operations. This role requires strong organizational skills, attention to detail, a willingness to learn, and the ability to multitask effectively in a fast-paced environment. Cross-training and advancement in the firm available for candidates who show the requisite aptitude.
Duties
- Greet and welcome clients in a friendly and professional manner.
- Answer phone calls, directing inquiries to the appropriate attorney while maintaining confidentiality and a courteous demeanor.
- Manage appointment scheduling and maintain an organized calendar for our attorneys.
- Perform clerical duties such as filing, data entry, and proofreading documents to ensure accuracy.
- Maintain the front desk area, ensuring it is tidy and presentable at all times.
- Assist with office management tasks, including account reconciliations, ordering supplies and managing client billing.
- Handle incoming and outgoing mail efficiently.
- Provide support in various administrative tasks as needed, contributing to the overall efficiency of the office.
Qualifications
- A willingness to work, good attendance, and dependability.
- Previous experience as a receptionist or in a similar front desk role is preferred.
- Strong social skills with the ability to communicate effectively with clients.
- Excellent organizational skills with a keen attention to detail.
- Proficient typing skills and familiarity with office software applications (e.g., Google Drive, Microsoft Office Suite).
- Experience in legal reception or knowledge of legal terminology is a plus but not required.
- Ability to manage multiple tasks simultaneously while maintaining professionalism under pressure.
- A positive attitude and willingness to learn new processes within the office environment.
