Overview
We are seeking a highly organized and detail-oriented Office Administrator Support Staff to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and managing various office tasks. This position requires strong communication skills, proficiency in office administration, and the ability to multitask effectively in a fast-paced environment.
JOB DUTIES:
· Responsible to ensure all assigned tasks are completed with efficiency and detail, including front desk services, data collection, data entry, and insurance payer eligibility/verification.
· Receive incoming calls and make outgoing calls to schedule as needed.
· Greet and welcome clients and associates and provide direction as needed.
· Provide/maintain communication within and outside the agency as directed.
· Assist group facilitators with administrative tasks.
· Provide welcoming environment for clients and associates by maintaining lobby and front desk area.
· Maintain and ensure compliance with business service policies and relevant agency policies.
· Provide client-centered and cost-effective business services, meeting all goals/objectives within designated reporting periods.
· Assure client financial records are HIPAA compliant, meet payer requirements, and are audit ready.
· Provide back-up services as directed.
· Conduct agency opening and closing procedures.
QUALIFICATIONS:
· High School graduate or equivalent
· One-year experience with any of the following:
1. College/University coursework in Office Occupation, Business Administration, Business Education, or closely related fields.
2. Vocational training including course work in clerical procedures.
3. Work experience providing detailed clerical office support activities with advance computer and office software skills.
· Superior communication and interpersonal skills.
· Demonstrated knowledge of HIPAA compliance requirements.
· Demonstrated history of detailed and accurate work.
· Demonstrated ability to work independently, complete tasks, and address/solve problems.
· Proficient in Word, Excel, Outlook, and multi-line phone systems.
· Demonstrated experience of working with a diverse population.
· Demonstrated practice of high ethical standards.
· Keyboard accuracy and proficiency – minimum 40 words per minute.
· Ability to operate standard office equipment.
