- Serves as an assistant to the OMHC, PRP, and SUD programs where you are expected to answer the phone, greet clients, serve clients snacks / drinks, schedule interviews for, schedule and complete intakes, participate in interviews and new hire selection
- Oversee and process all referrals by requesting PRP authorizations. Track PRP authorization and its end date. Request concurrent PRP referrals from the assigned therapist and submit concurrent authorization prior to the end date to prevent a lapse.
- Oversee and process all OMHC & SUD authorizations- Track OMHC & SUD authorization end date and submit concurrent authorization prior to the end date to prevent a lapse.
- Continuously call OMHC & SUD referrals to schedule an intake- Document mental health referrals via the referral spreadsheet
- Oversee, schedule, and track all OMHC & SUD group sessions via sign-in sheet, google calendar and billing spreadsheet
- Obtain all virtual screenshots for PRP & OMHC
- Assist management with interviews, hiring, onboarding (application, background check, TB test, drug test, Adam Walsh background), and employee records
- Assist management with invoicing and payroll as needed
- Schedule and complete new client intakes for PRP, OMHC & SUD within 5 days of client approval. Upload and submit initial and concurrent OMHC, SUD, and PRP authorizations into the Beacon / Carelon
- Oversee and maintain accuracy for all client and company Excel databases (SUD, OMHC, PRP)
- Make copies and refill all necessary forms that are running out in the office (where charts are located, referrals)
- Continually gather and assemble Intake Packets
- Creates and maintains the transportation schedule for OMHC, PRP, AND SUD program appointments (sessions, intakes, move-ins)
- Check all company voicemails, return calls and relay messages to required parties
- Assist with all office work as needed
- Assist in performing audits in all four areas using the appropriate audit tools at the frequency of quarterly and / or as needed.
- Assists with correcting deficiencies noted in the audits, which may include communicating / coordinating with all other program staff (therapist / clinical director) and assisting with obtaining the needed documentation.
- Set deadlines for completing corrections and follow up to ensure the deficiencies are corrected accordingly.
- Responsible for keeping up to date with new and evolving COMAR regulations
- Participates in staff and management meetings
- Investigating customer complaints
- Outreach and Re-engagement Liaison obtaining at least two new OMHC clients per week
- Perform outreach calls (psychiatric centers, schools, community centers, inpatient hospitals, substance use programs, elementary, middle, and high schools, after-school programs) on a weekly basis to introduce the organization and obtain new client referrals.
- Performing calls and pop-up visits to clients that need to be re-engaged to prevent client discharge
- Other duties may be assigned
