Job Description: Creative Coordinator

Overview: The Creative Coordinator (CC), in collaboration with the Community Manager, is responsible for overseeing the operations of the Creative Arts Studio (CAS) site locations. The CC will primarily manage CAS teachers and ensure the successful implementation of the curriculum across the four core fine arts disciplines: Music, Dance, Theater, and Visual Arts. Working under the guidance of the Artistic Director, the CC plays a key leadership role within the Creative Department. This position also supports the Community Manager in various areas, including parent relations, front desk duties, and site-specific special events.

Key Responsibilities:

  • Curriculum Management:
  • Oversee the fine arts program’s success, ensuring the effective execution of classes across all disciplines.
  • Assist in the selection of music for the music program, including composing music and supporting teachers in the implementation of the curriculum.
  • Collaborate weekly with the Executive Director to develop and refine the curriculum.
  • Plan, coordinate, and execute rehearsals for showcases and events in collaboration with teachers and the Community Manager.
  • Teacher Management:
  • Manage after-school scheduling and teacher attendance.
  • Ensure that all teachers are on-site and ready to teach, with classrooms and materials prepared.
  • Coordinate substitute teachers and cover classes in the event of teacher absence (classes will not be canceled unless absolutely necessary).
  • Conduct monthly evaluations of teachers’ work, providing constructive feedback and one-on-one support to teachers who need assistance.
  • Participate in the recruitment and hiring of new creative talent (teachers), in collaboration with the Creative Director and/or Executive Director.
  • Plan and execute teacher workshops, professional development opportunities, and training sessions.
  • Manage teacher absence requests and approvals.
  • Student Management:
  • Collaborate with the Artistic Director to manage student ensembles for concerts, such as “Rompecabezas.”
  • Guide and oversee student evaluations, including progress reports and interactive tools like Kahoot quizzes.
  • Actively seek talented students for new ensemble opportunities.
  • Manage daily tryouts for new students.
  • CAS Culture & Events:
  • Contribute to the CAS social media presence by engaging with content (liking, sharing, tagging).
  • Assist in organizing events like career days, festivals, and other activities that promote and represent the school.
  • Oversee teacher scheduling for Open Houses and special events.
  • Attend showcases and concerts, assisting the Artistic Director with student performances and concert logistics.
  • Site Management:
  • Perform daily classroom setup and walkthroughs.
  • Manage inventory and make requests for new instruments or class materials as needed.
  • Shared Responsibilities with the Community Manager:
  • Support public relations and customer service efforts, maintaining positive relationships with parents and the local community.
  • Assist with scheduling students and follow-up on tryouts with Sales Representatives.
  • Implement CAS core values alongside the CAS Culture Manager.
  • Ensure a welcoming atmosphere at the site (e.g., coffee, CAS videos, clean spaces, decorations).
  • Support the Grant Manager with grant paperwork as necessary.
  • Address special cases related to class curriculum or teacher issues in coordination with parents.
  • Manage seasonal decorations and cultural activities.
  • Oversee instrument rental management and control.
  • Analyze and manage student churn, striving to prevent it and address future issues.
  • Collaboration with the Social Media Team:
  • Coordinate content creation and sharing that aligns with site goals and needs.
  • Collaborate with the Community Manager to track and oversee site performance, including student retention, sales, and budget.
  • Regular Check-ins:
  • Conduct weekly check-ins with teachers to ensure smooth operations.
  • Daily check-ins with the Growth Director to ensure progress and address any concerns.

Qualifications:

  • Education:
  • Bachelor’s Degree in Fine Arts, Education, or a related field (or in progress).
  • Experience in teaching fine arts disciplines (Music, Dance, Theater, Visual Arts).
  • Experience working with children and youth in an educational or arts setting.
  • Experience in coordinating fine arts programs is highly preferred.
  • Skills & Competencies:
  • Demonstrated leadership skills with the ability to manage and motivate a team.
  • Strong organizational, communication, and interpersonal skills.
  • Proven ability to evaluate and modify instructional programs based on data and feedback.
  • Ability to design, implement, and evaluate fine arts curriculum for students aged 4 years through adulthood.
  • Experience in stage management, with a strong understanding of stage presence and performance logistics.
  • Excellent problem-solving and conflict management abilities.
  • Ability to prioritize tasks and manage multiple projects simultaneously.
  • Ability to work independently and manage expectations with minimal supervision.
  • A positive attitude and a professional approach to work and team interactions.
  • Special Knowledge & Skills:
  • Strong critical thinking and analytical skills to evaluate teaching effectiveness and modify programs as needed.
  • Ability to develop and deliver professional development training to active teacher learners.
  • Ability to build and foster positive relationships with staff, students, and parents.
  • Ability to maintain a welcoming, positive, and professional environment.
  • Proficient multitasker with the ability to stay focused on high-priority tasks.
