Job Title : Payroll and Corporate Compliance Administrator

Location : Chicago, IL

Compensation : $75,000 - $92,000 annually

ABOUT THE COMPANY :

Our client, a leading manufacturing organization in the Chicagoland area, is looking to add a skilled Payroll & Legal Administrator to their team. With locations in Chicago, Canada, and other remote areas, this company offers a dynamic environment and substantial growth opportunities within their expanding accounting, finance, and legal teams. As a team-oriented organization, they provide the tools, resources, and support necessary for success.

RESPONSIBILITIES OF THE PAYROLL AND CORPORATE COMPLIANCE ADMINISTRATOR :

Payroll Administration :

  • Administer payroll transactions for multi locations (US and Canada) including salaries, benefits, garnishments, deductions, taxes, and expat tax payments.
  • Ensure compliance with tax laws and obligations by maintaining accurate payroll records.
  • Advise payroll clerks at various plant locations on payroll processes and issues.
  • Collaborate with tax services to manage US tax obligations.
  • Resolve payroll discrepancies to ensure accurate payroll account balancing.
  • Reconcile 401k and payroll accounts, coordinating with the Benefit Manager for 401k plan audits.
  • Maintain and update payroll guidelines, policies, and procedures.
  • Resolve payroll-related questions and issues in a timely manner.
  • Participate in continuing professional education to stay current in the field.

Corporate Documentation :

  • Manage corporate records, including meeting minutes, company filings, and compliance documentation.
  • Ensure the timely submission of annual reports, tax filings, and other legal documents required by corporate laws and governance standards.
  • Support corporate governance by maintaining up-to-date records of shareholders, directors, and key legal entities.
  • Coordinate with legal teams and regulatory authorities to ensure corporate compliance.
  • Financial Administration :

  • Assist in managing financial transactions, including invoicing, accounts payable / receivable, and expense tracking.
  • Ensure accurate data entry into accounting systems to maintain precise financial records.
  • Support monthly and quarterly financial reporting, including preparing financial statements, balance sheets, and profit & loss reports.
  • Assist with audits by preparing financial documentation as needed.
  • EXPERIENCE PREFERRED :

  • Experience in payroll administration, legal documentation, and financial management.
  • Proficiency with payroll systems (ADP preferred).
  • Strong understanding of corporate governance, tax laws, and payroll compliance.
  • Knowledge of 401k reconciliation and benefit audits.
  • Excellent communication skills, with the ability to liaise with internal teams and external partners effectively.
  • High attention to detail and strong organizational skills.
  • Ability to work independently and manage multiple responsibilities efficiently.
  • Bachelor's degree in Accounting, Business Administration, or a related field is required.
  • CPP certification is preferred.
  • Salary : $75,000 - $92,000
