Position Overview
The Registrar reports to the Director of Operations & Compliance and plans, organizes, and manages all of the activities associated with admissions, including registration and records maintenance processes for enrollment, assessment, and attendance. The Registrar also assists with several non-academic aspects of school management. This role maintains comprehensive student records that are accurate and reliable. The Registrar ensures the alignment of scheduling, progress reporting, and student record keeping with the school-wide instructional program and students’ individual academic needs. The registrar will also serve as the School’s official designee for verifying student residency and enrollment. This is a full-time, exempt position and the registrar may be asked to work outside of business hours to fulfill the needs of the organization such as supporting community events, enrollment events, and audit preparation.
Duties and Responsibilities:
Responsibilities include, but are not limited to:
Student Registration
- Manage initial and ongoing student enrollment, including tracking of enrollment paperwork and health forms, ensuring rosters are accurate, ensuring records from prior school are transferred.
- Assist the School Nurse in collection and review of immunization records and ensure compliance with the Dept. of Health.
- Process meal eligibility paperwork and track internally, conduct annual income verifications as required, and ensure compliance with all other child nutrition programs.
- Maintain comprehensive student demographic data and provide reports as requested.
- Collect, track, and monitor school enrollment information; ensure that all enrollment paperwork is accurate within the SIS for all enrolled students.
- Ensure all enrollment documents meet state and federal guidelines and requirements and are retained appropriately for long-term record retention.
- Ensure that enrollment targets are met.
- Lead successful execution of enrollment related tasks and events (e.g., My School DC liaison, EdFest, marketing mailing, open house).
Student Records Maintenance
- Create and maintain physical student files, following up on missing paperwork as needed to ensure complete records.
- Fulfill requests for records from transfer schools and receive records from students' prior schools to be merged with current records.
- Communicate with various faculty members, departments, and administration with regard to pertinent updates to student information.
- Reconcile late arrivals, excused absences, and discipline to attendance data.
- Maintain school attendance records, i.e., daily attendance.
- Verify that teachers are inputting class attendance on a daily basis.
- Communicate student attendance matters in coordination with the school behavioral and counseling team via phone, electronic and postal mail.
- Routinely run attendance, assessment, and discipline reports to review for data quality.
- Ensures confidentiality and security of office space, files, and all information pertaining to students, parents, staff, and community.
Student Information Systems Management
- Serve as gatekeeper for information database and keep all student and family info current, including demographic, IEP, emergency contact, medical alerts, meal status, etc.
- Assist the Operations Manager in performing regular and end-of-year system tasks such as roll-over of students, roster creation, updating meal eligibility and immunization records, and reporting attendance.
- Track and update student attendance.
Data Reporting
- Assist in providing information needed for OSSE data collection and reporting.
- Other data reporting as determined by academic program needs.
General
- Assist with other projects/duties as needed, providing support of the mission in whatever way possible.
- Supporting logistics (technology, set-up, etc.) for school-wide events.
- Supporting and assisting other operations team members to allow them to excel in their roles.
- Perform other related duties as assigned.

Education and Experience:
- High school diploma; Bachelor's degree preferable
- Previous experience working in an administrative or operations role at a school and/ or experience in project and staff management
