What you'll do:
- Greets guests, visitors, and vendors as the first point of contact, ensuring a welcoming and professional environment.
- Assists with coordinating pick-up of will call orders.
- Performs clerical and basic administrative duties including responding to emails, filing, data entry, and completing basic forms as requested.
- Operates office machines including copiers, scanners, fax machines, phone and voicemail systems, personal computers, and other standard office equipment.
- Assists the HR or Operations Department with administrative tasks, reports, or other assigned projects.
- Answers phones, screens calls, and directs inquiries to the appropriate individuals.
- Completes office opening and closing procedures, ensuring workspace readiness at the start and end of each business day.
- Monitors and maintains office supply levels, placing orders as needed.
- Ensures the kitchen & coffee station are fully stocked, organized, and clean.
- Manages incoming and outgoing mail, ensuring all mail has proper postage and is ready for pick-up by the appointed time.
- Works with Sales and Customer Support department as needed to meet client needs.
- Assists in scheduling and coordinating meetings, including setting up conference rooms as needed.
- Maintains visitor logs and follows company security procedures for guest check-ins.
- Supports event planning or company functions by coordinating logistics and assisting with setup.
- Performs other related duties as assigned.
*We are open to both full-time and part-time applicants, your working hours will be a set time Monday - Friday between the hours of 6:30 am - 4:00 pm*
Qualifications
- High School Diploma or GED preferred
- Previous receptionist, office administration or customer service experience preferred
- Bilingual in Spanish or French is a plus
- Proficient in Microsoft Office suite (Excel, Word, Powerpoint, etc.)
- Effective communicator, both written and verbally in English
- Ability to prioritize, delegate, and organize multiple tasks or projects
- Excellent attention to detail and organizational skills
- Able to work and collaborate with others
Physical Requirements: Ability to stand or sit in a stationary position for long periods; occasionally move around the office and reach into cabinets, drawers, etc.; ability to lift up to 10 pounds.
Working Conditions: Standard office environment with fluorescent lighting, regular interruptions, and a standard noise level.
