Job Summary: The Front Desk Medical Office staff is responsible for providing administrative and customer service support to patients and healthcare providers. This role serves as the first point of contact for patients and plays a vital role in ensuring efficient office operations.
Key Responsibilities:
Patient Check-In/Check-Out: Greet patients, verify their identity, and assist with the check-in and check-out process, including verifying insurance information and collecting payments.
Appointment Scheduling: Schedule patient appointments, coordinating with medical staff to ensure efficient scheduling and reduce wait times.
Phone Management: Answer and direct phone calls to the appropriate personnel, providing information, taking messages, and handling patient inquiries in a professional and courteous manner.
Patient Registration: Accurately input patient information into electronic health records (EHR) or practice management systems, ensuring data accuracy and privacy compliance.
Insurance Verification: Verify patient insurance coverage, explain benefits, and assist patients in understanding their coverage and financial responsibilities.
Maintaining Patient Records: Maintain and update patient records, ensuring confidentiality and adherence to HIPAA regulations.
Financial Transactions: Collect and record payments, issue receipts, and reconcile daily financial transactions. Coordinating billing and insurance claims may also be required.
Patient Education: Provide patients with necessary information, forms, and instructions related to their appointments, tests, or procedures.
Managing Waiting Area: Keep the waiting area organized, clean, and welcoming. Assist with maintaining a calm and comfortable environment for patients.
Communication: Liaise with medical staff, nurse, and providers to relay patient information and ensure a smooth flow of patients in the office.
Qualifications:
- High school diploma or equivalent. Some medical offices may require post-secondary education or certification related to medical office administration.
- Strong communication and customer service skills.
- Knowledge of medical terminology and familiarity with electronic health records (EHR) or practice management systems.
- Attention to detail and organizational skills.
- Ability to maintain patient confidentiality and adhere to HIPAA regulations.
- Proficiency in using office software and computer skills.
