ESSENTIAL JOB FUNCTIONS:
- Performs receptionist duties for Executive offices. Greets and directs callers; handles and directs members, vendors and employees using sound judgment.
- Responsible for assisting with the President’s schedule as requested including recurring meetings and events, ensuring the President is well informed and prepared.
- Acts as the President’s assistant in coordinating daily activities including correspondence, communication, follow-up and other duties as needed.
- Responsible for maintaining the appearance, cleanliness and supplies of the executive offices, the boardroom and the fifth-floor lounge. Notifies purchase agent of any supply items that need refilled.
- Responsible for organizing, calendaring and scheduling the Boardroom and other conference rooms at the headquarters building and arranging various meetings. Sets up Boardroom for meetings. Arranges and schedules catering for various meetings and other events throughout the year.
- Schedules internal meetings and distributes internal information as directed.
- Arranges and schedules catering for board meetings and other events throughout the year.
- Responsible for notary administration program. Receives and reviews all requests for new and updated Notaries, works with the State of Alaska to process requests and keeps logs of all Notaries.
- Assists with managing member comments received by Executive Management.
ADDITIONAL RESPONSIBILITIES:
- Receives, reviews and orders all business cards.
- Orders flowers and any other items on behalf of the Human Resources department for various life events.
- Creates shipping packages to various employees and volunteers on behalf of the executive team as needed.
- Assists the CEO, other executive team members and the Senior Executive Assistant in various projects as directed.
- Assists Executive Assistant with travel arrangements, organization of meetings and catering orders as necessary
- Places purchase requests for department office supplies as needed.
- Meets the current standards as established for the department in the completion of all assigned duties.
- Performs other duties as assigned.
QUALIFICATIONS:
High school graduate with 3 years of progressively responsible secretarial and administrative work experience preferred; financial institution experience in an administrative or executive environment is preferred; some college-level courses highly desirable. Prior experience, making travel arrangements, meeting and facility scheduling and reception of visitors is also required. Must have a typing speed of 60 WPM, with extensive working knowledge of MS Word and Excel; must also be able to compose, format and file correspondence, requiring excellent spelling, grammar and organizational skills while maintaining confidentiality of all information. Must have the ability to prioritize tasks and maintain a professional appearance and a pleasant, calm demeanor with a proven ability to interact effectively with the public, management, board of directors and employees; must also possess a pleasant and effective telephone manner Responsible for abiding and complying with the policy for compliance with the Bank Secrecy Act and anti-money laundering laws and regulations (BSA/AML) and the policy for compliance with office of foreign assets control laws and regulations (OFAC).
